      The Scheduler reports to the Director of Elder Services and is responsible for coordinating and scheduling all transportation for adults and people with disabilities, which requires working closely with the Services Coordinator, Social Workers and Staff Drivers. Duties receiving and processing transportation requests, creating schedules for Staff Drivers and volunteer medical drivers, as well as coordinating maintenance.

      Answers transportation phone calls and schedules riders and drivers for grocery shopping, medical transportation, rides to and from the Robb Center, Townie rides and Supportive Day rides.

      Working in conjunction with the Social Workers and transportation policies, verify residents’ eligibility to participate in transportation programs. Make informed recommendations for alternate transportation programs to meet the needs of resident.

      Schedules volunteer drivers to take seniors to medical appointments. Schedules supported medical rides with designated Homecare Agencies.

      Coordinates daily schedule for drivers ensuring all passengers are accommodated efficiently with consideration of routing and traffic patterns. Communicates last minute schedule changes to drivers and social workers when appropriate.

      Issue Rideshare Vouchers and according to transportation policies. Works with Office Assistant to verify transportation billing and resolve discrepancies.

      Schedules and tracks driver training. Maintains training documentation in compliance with MassDOT, AgeSpan and other agencies.

      May be required to operate a vehicle and transport passengers during periods staff drivers are unavailable.

      Perform related transportation duties as required.


      Skills, Knowledge and Abilities

      Knowledge of standard office procedures, practices, forms and equipment; dexterity and accuracy in operating a computer.

      Ability to prepare routine correspondence and reports utilizing Microsoft Office Suite.

      Ability to understand, learn, interpret and explain policies and procedures, and to apply such guidelines appropriately to different situations.

      Ability to learn and operate computer systems and smart phone applications such as Uber and Google Maps.

      Ability to interact effectively and pleasantly with a wide variety of individuals, including customers, co-workers, outside professionals and members of the public.

      Ability to prioritize requests based on urgency and need, perform multiple tasks and deal effectively with interruptions.

      Education and Experience

      Duties require high school diploma or equivalent with one year related work experience; knowledge of office administration, and automated office systems and procedures; specialized; or any equivalent combination of education and experience. Must have a valid driver’s license and pass a CORI background check.

      PHYSICAL ELEMENTS

      Normal office environment, not subject to extremes in noise, temperature, odors, etc. Occasional nights and weekends required.

      May operate a motor vehicle and assist passengers on and off 14 passenger minibus.

      Intermittent standing to assist customers or other staff members.

      Frequent interruptions to assist customers in the office or over the telephone.

      May spend extended periods at terminal, on telephone, or operating other office machines, requiring eye-hand coordination and finger dexterity.

      Regular lifting and carrying of files, documents, records, etc.
