Transportation - Foster positive communication between the school sites, staff, and parents.
- Provides clerical, administrative, and customer support to all inquiries that come into the Transportation Department.
- Accurately prepare State and District reports in required timelines, which provide for state and Federal reimbursements to the school district.
- Verify attendance and prepare vouchers payable to non-public schools for reimbursement of transportation funds.
- Process payments for all student transportation expenses including regular, special needs, desegregation, and activity routes.
- Ensure correct and accurate invoicing of the county for all foster care students.
- Analyze invoices for accuracy and efficiency by comparing information to reports from the district’s routing system.
- Consolidate transportation data in preparation of annual State reports.
- Reconciles monthly general ledger accounts to statements and prepares journal entries as required. Ensures compliance with Federal, State, and District policies, procedures, and regulations according to generally accepted accounting principles.
- Accesses computerized financial and transportation information to answer general questions.
- Delivering customer service that embodies the District mission
- Assisting school/department leaders with communications
- Acting as a liaison between parents, students, community and site/department staff
- Communicating and coordinating services with internal and external vendors to ensure quality service to our school system
- Submitting business forms, requisitions, office supply requests
- Provide clerical and administrative supports to Director and Assistant Director of the Transportation Department
- Answering and transferring phone calls;
- Processing copy requests from staff;
- Enter data into spreadsheets and/or databases.
- All other duties as assigned by the supervisor.
- High School Diploma or GED Equivalent
- Four (4) years of clerical experience.
- Experience working in a busy, fast-paced office environment.
- Clerical, billing, budgeting, and customer service assistance.
- Valid Driver’s license.
- Record maintenance and retention.
- Advanced computer experience.

SUMMARY:
The Transportation Support Coordinator provides essential support to the Transportation Department by delivering high-quality departmental support in billing, budgeting, and customer service assistance to both internal and external stakeholders. This role involves managing specialized administrative and technical tasks that require strong communication skills, attention to detail, and creative problem-solving to meet the department’s unique needs. Responsibilities include responding to inquiries and correspondence with professionalism and discretion, often involving sensitive or confidential information. You will serve as a key point of contact for a diverse range of individuals, ensuring clear, courteous, and effective communication across all levels of the organization. The role also includes supporting transportation billing and budgeting processes with accuracy and efficiency. Independent judgment is required to prioritize and organize a dynamic workload, and to recommend improvements to office procedures. A positive, team-oriented attitude, flexibility to adapt to shifting priorities, and daily assignment changes are essential.
