      Job Summary:

      The University Advancement Assistant provides administrative, event coordination and program management support for all UA team members, communicates with internal and external constituents, coordinates department activities, and assists with mailings, projects and events.

      Job Description:

      Responsibilities

      • First point of contact for UA. Manage email inboxes and main phone line.

      • Process expense reports, supplier invoices, transfers, and deposits, and provide budget reports.

      • Manage maintenance, refurbishment, and custodial services for the Alumni House, Alumni Lawn, Cottage, John Street House and Annex.

      • Manage and coordinate reservations for the Alumni House four guest rooms, cottage, living room, and Alumni Lawn. Greet guests as they arrive and depart. Be on-site liaison during business hours for events in the Alumni House and on Alumni Lawn.

      • Order office supplies and donor gifts.

      • Open and distribute mail.

      • Assist with onboarding new employees.

      • Assist with UA events, mailings and special projects including Green4Gold and March Match giving campaigns.

      • Compose and edit correspondence and documents.

      • Order, organize and maintain inventory of department letterhead, envelopes, brochures, and business cards. Coordinate with campus departments on inventory orders.

      • Assist with coordination of Alumni and Parent Engagement events such as Senior Celebration, the Homecoming 5K, Family Weekend and regional gatherings. Duties may include booking venues, securing vendors, coordinating catering, and packing supplies.

      • Support Alumni Engagement staff in coordinating the Alumni Award recognition programs (Rising Alumni, Spotlight & Distinguished Achievement) including overseeing the nomination/selection process, awardee communication and stewardship, and event development.

      • Assist with the coordination and stewardship of volunteers for Alumni Engagement programs and events. Book hotels, manage reimbursements, and support travel arrangements for Alumni Board members.

      • Design, set up, and run the Commencement Alumni Association Booth, Grad Fair Alumni Booth, and Welcome Week Alumni Booth.

      • Coordinate the Alumni Brick program by processing transactions, recording alumni brick engraving information and placing orders with the brick engraving vendor. Coordinate and supervise installation of alumni bricks every summer.

      • Support Alumni Engagement staff with special projects, such as coordination of all Women’s Auxiliary & Friends cake supplies, orders and deliveries to individual students throughout the academic year.

      • Perform other duties as assigned.

      Qualifications

      • Two years of increasingly responsible administrative experience preferred.

      • Bachelor’s degree in a related field (Communications, Business, Public Relations) preferred.

      • Strong computer skills to include Google Workspace, Word and Excel.

      • Previous experience with a database preferred.

      • Writing experience and the ability to communicate well verbally and in writing required.

      • Customer service experience preferred.

      • Ability to work with clients of all ages.

      • Ability to perform successfully in a team environment.

      • Strong organizational skills and the ability to use independent judgment in prioritizing tasks and meeting deadlines while experiencing frequent interruptions.

      • Ability to communicate well and exercise important human relations skills in establishing and maintaining effective working relationships with alumni, faculty, staff, students and the general public.

      • Evidence of Christian commitment and active church involvement. In addition, staff agree to live in agreement with PLNU’s Community Life Covenant .

      Physical Requirements

      Sitting for periods greater than one hour. Use of computer equipment: computer keyboard, mouse, and monitor. Vision to read documents, e-mail and other correspondence, and reports on paper and computer monitor. Hearing and speaking to communicate effectively with others in person and by phone. Will also stand, stoop, push, pull, and lift up to 10 lbs. throughout the day.
