      Job Description
      The primary role of the Summer Program Coordinator (previously known as the Summer Conference Coordinator or SCC) position is to understand and participate in the development and execution of summer programs. The goal of this position is to give students valuable real-world experience in a customer service-related environment. The Summer Program Coordinator position should work 5-10 hours per week during the academic year and 30-40 hours per week during the summer. Those hours may be worked in any combination, at the discretion of the Assistant Director, Residential Services who will be the direct supervisor. The Summer Program Coordinator must be reliable, organized, responsible, and flexible. They must also be ambitious, detail-oriented, creative, and driven.

      The ideal candidate will be knowledgeable in University Residences Summer Residential and Dining Programs (formerly known as University Residences Conference Services) processes and have had some supervisory experience.

      Prerequisite(s)
      Previous experience as a Community Assistant, Staffing Assistant, or Academic year Student Office Staff (SOS) or Student Office Coordinator (SOC) for University Residences or equivalent is preferred, but not required.

      Qualifications
      • High school diploma or equivalent and a minimum of one semester of college coursework completed
      • Must be actively enrolled at Purdue University, Purdue University Global, or a local accredited college
      • Previous work experience within University Residences and or Conferences is preferred
      • Strong interpersonal and communication skills, both verbal and written
      • Flexible and dependable with strong attention to detail
      • Problem solving, logic, and reasoning skills
      • Customer service oriented
      • Ability to multi-task and work within deadlines
      • Ability to work independently and with a team
      • Be timely and organized
      • Previous experience as a Community Assistant, Staffing Assistant, or Academic year Student Office Staff (SOS) or Student Office Coordinator (SOC) for University Residences or equivalent is preferred, but not required
      • Previous leadership experience preferred
      • Previous event planning or project management experience preferred

      Position Responsibilities

      Position Responsibilities
      • Communication and customer support with chairpersons or conference coordinators of assigned conferences
      • Use of rooming management system for all conference-related activity including but not limited to:
      o Letter of Agreement
      o Guarantee numbers
      o Roster import/export/changes
      o Program conference cards
      o Billing
      • Participate in and facilitate the summer employee conference training
      • Organize information, assess and respond appropriately to the needs of the customer
      • Attend and take part in planning meetings
      • Track conference fees/charges ensuring accurate billing and customer data
      • Oversee conference check-in and check-outs
      • Conduct conference orientations and attend the first meal of each designated conference
      • Meet regularly with conference team leadership
      • Fulfill on-call responsibilities as part of a scheduled rotation
      • Be accessible in person or by phone to address questions or emergencies, including after-hours support and complete incident reports or other appropriate documents as needed
      • Maintain confidentiality and exhibit professional conduct when handling sensitive, personal information
      • Report policy violations and/or University Residences regulation violations
      • Exemplify promptness, initiative, adaptability, high ethical standards, professional appearance, and demeanor as part of the conference team
      • Other duties as assigned
