      Position Summary

      This is an International Brotherhood of Electrical Workers (IBEW) Local 1245 represented classification, which has over 100 years of experience representing employees at PG&E. This job is subject to collective bargaining.

      This position provides clerical and/or administrative support such as but not limited to processing purchase orders for services and materials, data entry, conference room booking, ordering/stocking) to one or more departments/managers.

      PG&E is providing the hourly rate range that the company in good faith believes it might pay for this position at the time of the job posting. This compensation range is specific to the locality of the job. The actual hourly rate paid to an individual will be based on multiple factors, including, but not limited to, specific skills, education, licenses or certifications, experience, market value, geographic location, collective bargaining agreement, and internal equity. Although we estimate the successful candidate hired into this role will be placed towards the middle or entry point of the range, the decision will be made on a case-by-case basis related to these factors.

      Under the terms of the collective bargaining agreement, the starting hourly rate range for this position is $22.45 to $38.38, subject to collectively bargained wage increases.

      Job Responsibilities

      • Ability to embrace and successfully utilize Lean Philosophy and lean tools for continuous improvement.
      • Model a safety-first work environment and lean culture.
      • Perform administrative functions as requested by functional area teams (meeting setup, material orders, timekeeping, expense reports, filing, mail retrieval, sorting, scanning, etc.)
      • Data entry and invoice reconciliation to appropriate projects

      This position will require extensive coordination skills to perform the following tasks and is not limited to but does include some or all the following:

      Data Processing: Organizing written records and accurately typing the information into computer systems or a database. Will have to perform data input and update different types of records, based upon the business or department they support. e.g. business letters, reports, payroll, processing invoices any jobs related to using SAP, CATS, Microsoft programs and other related programs. Must be comfortable using digital hardware and software, so they can work with spreadsheets, write letters using word-processing applications and respond to emails. Must also be able to use common office machines, including copiers, scanners, fax machines, phone systems, etc.

      Greeter: Good interpersonal skills needed to interact with different types of people from the couriers who bring in ordered supplies, to department heads who need errands run. They must be able to listen actively to any instructions given to them, and then communicate both verbally and in writing to explain the results of their actions. Meeting preparations, setting up and clean up, reserving conference rooms, catering arrangements. Prep audio-visual equipment to ensure working condition, contact IT/TSC for support. Prepare agenda, take meeting notes, copy meeting materials, etc.

      Vendor Support and Ordering Supplies: Engage with various vendors, coworkers, contractors order supplies, receive delivery, handle invoices and billing inquiries, schedule and coordinate repairs / visits, order and track materials, supplies, etc. Maintain office machines, log issues, troubleshoot and arrange for service, repair, maintenance. Edit, update, close out, complete and document work orders.

      File maintenance: Much of the work involves organizing, storing and processing both digital and hard copy information. Make copies of documents and maintain records. File, label, organize and respond to requests for files from others.

      Qualifications

      Minimum:

      • Must be at least 18 years of age
      • Must possess a High School diploma, GED or equivalent work experience

      Desired:

      • 1+ years in-person customer service experience
      • Previous mailroom (or distribution) experience
      • Ordering supplies and tracking/receipt/delivery/distribution
      • Demonstrated experience using Microsoft Office products suite, outlook, word, and excel
      • Comprehend and follow verbal and written instructions
      • Strong attention to detail
      • Possess communication skills, both written and verbal
      • Perform simple/ repetitive tasks
      • Organize tasks and set priorities
      • Manage multiple tasks simultaneously
      • Use basic problem-solving techniques
      • Work autonomously, or with minimal supervision
