- Attends community events related to procurement and economic development; assists in the improvement of program processes, policies, and procedures to increase access to procurement opportunities; coordinates meetings to connect with vendors and facilitate introductory discussions between county stakeholders; Reviews and updates vendor communication and outreach plan and materials to communicate open bid opportunities, events, and ways to engage; works collaboratively with the Office of Communications and the Department of Economic Development.
- Evaluate vendor logistical and performance capabilities, establish vendor monitoring and tracking processes, and assess vendor performance using a variety of vendor management strategies (e.g., service level agreements, operational audits, surveys, etc.) to ensure continuous improvement.
- Coordinates collection of event feedback including administration of surveys, conducting interviews, focus groups etc. to enhance future activities; manages and supports vendor engagement and outreach events including specific focus areas, logistics, and marketing.
- Evaluate vendor feedback on agency acquisitions, utilizing an evaluation tool, monitors marketplace interest in agency requirements.
- Monitor agency satisfaction with vendor goods and services. Liaise with agency to understand needs, recruit vendors, and handle escalated performance claims.
- Leverage agencies spend plans to match agencies with vendors. Host supplier events including industry days, vendor workshops, and annual procurement expo.
- Source vendors through targeted marketing of solicitations to increase the number of bids per solicitation.
- Promote timely responses to general vendor requests where appropriate, including new vendors.
The Prince William County Office of Procurement Services (OPS) is seeking a skilled match-maker to lead the county’s vendor engagement efforts and create a robust marketplace that connects agencies to vendors that meet their business needs. The Office of Procurement Services (OPS) manages the acquisition of various supplies, goods, construction services, professional services, and general services through a variety of competitive, fair, and ethical solicitation approaches. OPS delivers approximately $200 million worth of procurement to 37 departments annually. Additionally, the FY2024 Capital Improvement program (CIP) procurement is budgeted at $296.7M (six-year CIP program is $1.3B).
OPS is focusing on four key initiatives including developing a robust marketplace that connects agencies to vendors to meet their business needs; modernizing the acquisition process to improve overall customer experience; expanding procurement solutions through strategic and sustainable sourcing; and improving agency contract administration through training, policy development, and vendor performance assessment.
About This Role:
Reporting to the Chief Procurement Officer, the Vendor Relations Coordinator will support the Office of Procurement Services (OPS) mission in promoting vendor engagement to ensure that the County procurement system is understood and transparent to the vendor community. The Vendor Relations Coordinator will assist departments and OPS in developing strategies for engaging potential vendors that can provide capabilities necessary to achieve agency missions.
Duties and Responsibilities:
Our top candidate will be a leader experienced in developing and implementing a vendor engagement and outreach program and increasing supplier diversity.
Minimum Requirements:
High school diploma or G.E.D. and 4 years as vendor relations coordinator or position with comparable experience.
Preferences:
Bachelor’s degree in marketing, Business, Public Administration, or related field with 4-5 years of progressively responsible vendor relations experience with knowledge of vendor relations best practices.
- Knowledge of current local business community as it pertains to small business economic development.
- Strong communication (verbal and written) and interpersonal skills.
- Strong networking and salesperson skills.
- Experience in vendor relations automation.
- Advanced in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Ability to exercise strict confidence in handling sensitive information.
- Ability to relate to a wide variety of people and to observe, listen, motivate, and provide guidance.
- Ability to work independently, prioritize and manage workload efficiently and communicate when help is needed.
Work Schedule:
Monday- Friday 8:00 am – 4:30 pm. Occasional travel may be required for meetings and events. Officially, 37.5-hour schedule.
Starting Salary Range: $64,311.00 - 90,000.00 Annually
