      TITLE: Volunteer Engagement Coordinator

      DEPARTMENT: Resource Development

      REPORTS TO: Director of RD Operations and Volunteerism

      CLASSIFICATION: Non-Exempt, Full-Time

      PRIMARY FUNCTION:

      Reporting to the Director of RD Operations, this position will work respectively with Resource Development, Human Resources, and Club Staff. The Volunteer Engagement Coordinator (VEC) will play an integral part in building and coordinating our volunteer program, as well as assisting with additional Resource Development Team tasks including events and fundraising. The VEC is responsible for managing BGCGTB’s Volunteer Program including recruitment, training, scheduling, communications, and coordinating with both volunteers and club staff. The VEC will have the opportunity to develop a cohesive and efficient Volunteer Program that provides volunteers with a fun and meaningful volunteer experience, while giving the Clubs extra helping hands. The VEC will support professional development and training needs for the organization and support administrative tasks for the RD and HR team.

      KEY ROLES (Essential Job Responsibilities):

      Volunteer Management

      • Under the direction of the Director of Volunteerism, create a timeline and communication process for recruiting, processing, and placing volunteers at all 40+ Club locations.
      • Work with Club staff to identify volunteer needs, effective placement to fill roles, and support safe and impactful management of volunteers.
      • Review and update volunteer applications and materials, as needed.
      • Communicate effectively and in a timely way, with both internal and external parties, to match interested volunteers with vacant positions within the organization.
      • Maintain volunteer records, track progress, and obtain feedback on volunteer experiences.
        • Maintain an organizational calendar of volunteer opportunities and develop a regular cycle of communication with Volunteers.
          • Lead volunteer training courses to ensure that policies and procedures are followed.
          • Attend and lead engagement activities, and track volunteer hours for reporting purposes.
          • Support Human Resources in background check, screening requirements and trainings.
          • Obtain appropriate information/documentation and save to the donor database.
          • Support resource development in identifying opportunities for corporate volunteer groups. Support planning and execution of activities, as needed.
            • Develop monthly briefs for BGCGTB Senior Leadership Team on upcoming volunteer events and status of volunteer activity

      Professional Development and Training Support

      • Assist in coordinating, scheduling, and execution of training sessions for Club staff and volunteers.
      • Track participation in training for reporting purposes and grant requirements.
      • Support internal communications around external training opportunities.
      • Assist with technical assistance for BGCA.NET Spillett University.
      • Lead training sessions, as needed.

      QUALIFICATIONS

      • Bachelor’s degree or an equivalent of experience/education.
      • BGCGTB seeks a professional with a minimum of 2 years of post-college work experience in Volunteer Management, and/or program-facing administrative work.
      • Experience working with youth services preferred.
      • Professional experience and skill set of sought-after candidates include:
        1. Possess strong interpersonal skills, with an engaging and outgoing personality
      • Experience and proficiency at managing projects and timelines – self-directed with excellent problem-solving skills and strong common sense
      • Resourceful individual, able to learn new processes and software for Volunteer management
      • Extreme attention to detail.
      • Excellent written and verbal communications – experience with communications in a professional environment.
      • Strong customer service skills.
      • Public speaking experience, with comfort addressing groups and individuals in a fun and engaging way.
      • High level of integrity and discretion, especially in working with confidential and privileged information.
      • Experience working in a fast-paced environment while maintaining high personal standards for the quality of output.
      • Enthusiastic team player who is open to collaboration.
      • Advanced computer skills, including working knowledge of Word, Excel, Outlook and PowerPoint and Volunteer management software (VolunteerSpot, Volgistics, etc.)
      • Respect for all levels of the organization and for all Corporate Partners.

      Additional Requirements:

      • Valid drivers’ license.
      • May be required to sit or stand for extended periods of time.
      • Local travel to/from Club locations in a variety of Hillsborough, Pasco and Pinellas County.
      • May be required to work evening/weekends as needed.
      • Must be able pass level II background check, drug screening and reference check.

      ENVIRONMENTAL CONDITION

      • Spend time both at the Metro Office and at the Clubs.
      • Must have reliable, insured private transportation.

      PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

      Normal internal office environment. Often need to travel to club locations in Hillsborough, Pasco and Pinellas County. Ability to bend, squat, climb stairs and lift frequently. Ability to lift up to 50 pounds occasionally.
