      Hourly Pay Range (Minimum - Midpoint - Maximum):

      $24.250 - $28.040 - $31.820


      The stated pay scale reflects the range that Sharp reasonably expects to pay for this position. The actual pay rate and pay grade for this position will be dependent on a variety of factors, including an applicant’s years of experience, unique skills and abilities, education, alignment with similar internal candidates, marketplace factors, other requirements for the position, and employer business practices.



      What You Will Do
      Assist the department in managing the daily operations of the Volunteer Services Department on the Sharp Metropolitan Medical Campus. Supervise the daily activities of the volunteers in the volunteer office as well as those assigned to special projects. Assist applicants navigate the on-boarding process. Maintain volunteer tracking and record keeping utilizing the volunteer database to its fullest capacity. Act as liaison to the community and other departments. Adhere to all hospital and department safety regulations and guidelines.

      Required Qualifications
      • 3 Years Experience in an office setting working with the general public.
      • Online computer experience and customer service experience.

      Preferred Qualifications
      • H.S. Diploma or Equivalent

      Essential Functions
      • Administrative support

        Assist the department in planning and organizing special events and activities.
        Send monthly newsletter and event invitations as needed.
        Assist department Lead with all appointments.
        Utilize general office equipment such as printers, computer programs, fax machines, scanners and multi-line phone systems.
        Utilize Microsoft Word, Excel, PowerPoint, Outlook and Workday applications.
        Utilize VSys One and Adobe Acrobat in daily business operations.
        Execute departmental clerical needs and provide department administrative support.
        Responsible for office supply inventory and purchasing.
        Maintain hard copy and electronic files for volunteer records.
        Complete monthly Finance report by deadline.
        Process birthday, get well, sympathy and congratulation cards.
        Process all in-coming and out-going mail as needed.
        Assist with editing department correspondence.


      • Customer service

        Provide immediate attention to walk-in customers.
        Return telephone calls and e-mails requesting information within 24 hours.
        Analyze requests for information or assistance and decide appropriate way to handle requests.
        Employ active listening skills and practice respectful telephone etiquette to maintain customer satisfaction.
        Exhibit courtesy cooperation and respect towards all internal and external customers.
        Process departmental letters to volunteers as needed.
        Process ID badge pictures, uniform sales, and gifted uniforms.
        Provide needed materials for placement appointments.
        Process applications and send appropriate response within 48 hours.
        Manage interview, placement, and transfer schedules, including reminders.
        Manage Information Session registration, roster and hour posting.
        Provide assistance with accessing department web portal.
        Round on volunteers for relationship building and satisfaction.
        Act as liaison to the community and other departments.
      • Record keeping

        Maintain accurate volunteer records regarding hours, regulatory forms, and training checklists. Hard copy and electronic.
        Ensure all volunteer files meet 100% compliance with Joint Commission standards.
        Update volunteer certifications as required.
        Enter volunteer service hours into database as needed.
        Develop or maintain volunteer files for newly activated volunteers, in-activated volunteers, and non-responsive applicants.
      • Supplies

        Conduct office supply inventory monthly to ensure adequate supplies, process supply orders, organize incoming supplies.
        Complete work orders as needed.
      • Volunteer management

        Supervise Volunteer Service’s office volunteers.
        Train Volunteer Service’s volunteers to assist with projects and prioritize those projects.
        Provide appropriate recognition for all volunteers.

      Knowledge, Skills, and Abilities
      • Ability to utilize resources in an organized manner.
      • Ability to take initiative and make decision within scope of position.
      • Possess computer skills needed to utilize Microsoft Word, Excel, PowerPoint, Outlook, volunteer management database and Adobe Acrobat.
      • General knowledge of office procedures.
      • Effective interpersonal skills through both telephone and face-to-face contact.
