      Job summary

      We are looking to recruit a Waiting List Coordinator predominantly for Gynaecology with a cross cover for Gynaecology Oncology and C-Section waiting lists. This is a full time, permanent contract working within a small team.

      You will be a conscientious and enthusiastic team player, with excellent organisational and communication skills. You will have a good understanding of the 18-week RTT pathways and the Patient Access Policy. You will need to be able to demonstrate a clear understanding of patient confidentiality.

      You will also be required to offer support to our RTT validator, this will involve the below -

      o Assist in improving the quality of data associated with RTT by developing expert knowledge of RTT rules and providing training and support to operational teams as required, by ensuring that best practice is applied consistently and that common errors are identified and addressed.o Support secretarial, outpatient and waiting list staff in data entry and validationo Ensure that all validation is complete within timescales, undertaking validation work directly as required to achieve this.o Pull weekly PTL reports.

      Main duties of the job

      You will manage a team of 5 waiting list co-ordinators and will be responsible for their PDR's, return to works, annual leave, and other management tasks. The post holder will provide waiting list management for the Women & Children's Services Directorate and oversee the smooth running the Gynaecology and Gynaecology Oncology theatre lists ensure these are booked in line with the trust 6-4-2 policy.

      The role includes close meetings with the management team to ensure they are kept updated with our current surgery backlog, this will include pulling PTL reports and reports for transfers. You will also be required to cross cover the waiting roles when the team is on annual leave or covering sickness.

      • Report to management with the Gynaecology backlog report.
      • Maintain elective waiting lists, ensuring that Trust waiting time targets are achieved.
      • Plan theatre lists and to liaise with consultants and specialist as necessary to ensure that the mix of patients and procedures is acceptable.
      • Ensure patients are informed in a timely manner of any cancellations or changes to planned attendance / admission times / appointments.
      • Use PAS and other clinical systems to record and examine information about patients in order to maintain data quality on the system.
      • Arrange Pre-admission assessments and admission dates with patients, by direct negotiation by telephone and face to face; ensure that patients receive correct starving instructions and other relevant information about their admission.
      • Set up Consultants' waiting list codes and patient notifications on PAS and other clinical systems.
      • Print out PAS and other clinical systems reports in relation to waiting lists, expected admissions and other waiting list related summaries.
      • Maintain a record of clinical staff absences to ensure that admissions and theatre lists are booked appropriately.
      • Liaise with relevant staff and departments in respect of theatre rotas.
      • Liaise with any subcontract organisations as and when appropriate / applicable i.e. Medacs
      • Handle internal and external telephone calls to the department in a professional and helpful manner; take and record details of patients wishing to confirm or cancel their elective admission.
      • Liaise with ward and theatre staff as required.
