      Gettysburg College is seeking a full-time Academic Administrative Assistant to work in the Psychology Department and with the X-SIG Program. This position requires 37.5 hours per week during the academic year, and 25 hours per week for 10 weeks in the summer. This position performs financial, supervisory, administrative, and related services for the Psychology Department for 32.5 hours/week and the X-SIG program for 5 hours/week.

      Responsibilities include:
      • Serve as department/program's first point of contact, providing high-level administrative support to Chair/Director, faculty, students, and visitors
      • Manage communications, calendars, departmental documents, records, and confidential information while responding to inquiries via email, phone, and in person
      • Hire, supervise, and coordinate student office assistants, including schedules, task delegation, and payroll
      • Oversee budget planning, maintenance, and tracking of all financial records, including department/program, faculty, and grant budgets
      • Process all financial transactions and manage procurement, including P-cards, reimbursements, supplies, and service requests
      • Organize all department/program events and field trips, managing logistics, space reservations, catering, publicity, transportation, accommodation arrangements, and classroom technology needs
      • Provide comprehensive faculty support including onboarding, travel arrangements, maintaining scheduling information (courses, office hours, meetings), and managing academic materials (syllabi, lab manuals, textbooks)
      • Support student academic needs through directing inquiries, coordinating departmental pre-registration with Registrar's Office, sending deadline reminders, and assisting with departmental student awards
      • Update department/program website, social media platforms, and physical bulletin boards
      • Assist with Division 3 X-SIG processes and department-specific events and awards
