- Manage the full accounts payable cycle, including invoice coding, matching, approvals, and payment processing.
- Manage and provide oversight to an Accounts Payable Specialist responsible for processing a high volume of invoices, ensuring accuracy, efficiency, and adherence to internal controls and deadlines.
- Ensure all invoices and payments are properly recorded in NetSuite, including setting up new vendors, applying correct GL codes, and ensuring accurate payment terms.
- Oversee and reconcile the AP aging report and ensure timely resolution of vendor inquiries and discrepancies.
- Manage weekly and monthly check runs, ACH payments, wires, and credit card transactions.
- Collaborate with Procurement, Receiving, and department heads to resolve invoice and payment issues.
- Maintain vendor relationships and ensure W-9s and tax forms are collected and filed appropriately.
- Oversee company-wide expense reporting process, including employee onboarding, policy enforcement, and monthly reconciliation to ensure accurate and timely reimbursement.
- Assist with month-end close processes, including AP accruals and reporting.
- Monitor internal controls and ensure compliance with company policies and procedures.
- Support external audits by providing documentation and responding to auditor inquiries.
- Continuously identify and implement process improvements to increase efficiency and reduce errors.
- Bachelor's degree in Accounting, Finance, or related field preferred.
- 5+ years of experience in accounts payable, with at least 2 years in a managerial role.
- Proficiency with NetSuite is required.
- Strong understanding of GAAP and AP best practices.
- Experience processing high-volume invoices (approx. 300/month).
- Excellent attention to detail, organizational, and communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Proficient in Microsoft Excel and other accounting tools.
- Experience with NetSuite automation tools or approval workflows.
- Familiarity with 1099 reporting and IRS regulations.
- Prior experience in a multi-entity or multi-location environment.
