      Job Description Summary:
      Provides Front Office Support. Provides support for financial operations and programming. Provides primary administrative support for the Director. Assists the Director by managing meeting schedule and the flow of information through the Director's office.

      Job Description:

      Required Qualifications:
      • Associate's degree or equivalent education, experience, and/or training.
      • Considerable knowledge of administrative and office support functions, office equipment, and office management, including practices, protocol, and customer-service etiquette.
      • Demonstrated proficiency in computer skills to include Internet browsers and Microsoft Office: Word, Excel, and Outlook.
      • Demonstrated ability to effectively organize, prioritize, and navigate multiple projects providing a high-level of attention to detail and accuracy.
      • Demonstrate ability to work independently and collaboratively as a team member utilizing a high level of interpersonal skills.
      • Demonstrated ability to communicate effectively, orally and in writing, and disseminate information effectively with a diverse population of faculty, staff and students.


      Preferred Qualifications:
      • Bachelor's degree from an accredited institution or an equivalent amount of education and experience.
      • Recent administrative work experience in a fast-paced professional office environment.
      • Experience working in a higher education environment.
      • Experience handling finance, budget, and/or financial reporting for office/management team.
      • Experience working with QuickBooks
      • Experience in guiding students, volunteers, or other part-time workers.


      Conditions of Employment:
      • Some weekend work and evening work required.
      • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.
      • Position is restricted to funding.


      Duties:

      30% - Front Office Staff:
      • Serve as office receptionist.
      • Monitoring phones, mail, and email.
      • Maintain supplies.
      • Fulfill donor gifts.


      25% - Financial:
      • Provide support for financial operations.
      • Upload data into QuickBooks.


      20% - Programs:
      • Provide support for virtual and in-person programming.
      • Staffing registration.
      • Liaising with hotels, airlines and caterers.
      • Clerical Support.


      15% - Assistant to the Executive Director:
      • Schedule and tasks for the Executive Director.
      • Administrative support for the Executive Director.
      • Distribute office-wide communications.


      10% - Special Projects
      • Special projects as assigned.


      Salary: $36,000 - $46,000, commensurate with experience.
