      Job summary

      This is a 12 months fixed term post.

      The post holder will be responsible for the management of the admin team ensuring effective performance, including coordination of administrative work, supervising staff, maintaining cover, carrying out staff performance reviews and ensuring training and development for the staff that they are responsible for.

      Candidates should be qualified to NVQ Level 3 in Business & Administration or equivalent. Experience of database management and input, complex diary management, planning and organising complex meetings and experience in attending and recording minutes of meetings accurately would be desirable.

      The post holder must also have the ability to communicate effectively with people at all levels by telephone and in person and display the ability to follow policies and procedures. Excellent organisational skills and time management skills are essential.

      The post holder should have a working knowledge of all computer packages. They should be able to demonstrate excellent keyboard skills and a knowledge of IT packages are essential. Experience in the use of excel would also be desirable.

      Main duties of the job

      Main Duties include:

      • Provides high quality secretarial and administrative support.
      • Schedules appointments and books meetings including those with partner organisation.
      • Use various database and spreadsheet computer packages to initiate and maintain records as appropriate, collate information received and generate statistics for analytical purposes and distribution of information on a weekly, monthly or yearly basis.
      • Prepares Power Point and equipment for presentations as required.
      • Establishes and maintains communication with professional and non-professional groups for routine and daily operational matters with an appropriate level of understanding overcoming any differences in communication between the people involved, including enquiries face-to-face or via telephone.
      • To arrange clinical meetings, take minutes and produce accurate information for circulation.
      • To develop and implement own skills and knowledge gained to enhance the planning and organisation within the job role and contribute to the development of others.
      • Carry out appraisals and PDPs for admin staff.
      • Interview and recruit new administrative staff.
      • Monitor annual leave and sickness absence of admin staff.
      • Co-ordinate holiday cover / rotas for admin staff ensuring appropriate cover at all times.
      • Chair admin team meetings and record actions.

      Working hours are Monday Friday 8.30-5.00.
