Administration Officer – Virtual Urgent Care Service

HNE Virtual KIDS | John Hunter Children’s Hospital. Be part of a pioneering service transforming paediatric healthcare across NSW.

HNE Virtual KIDS is redefining the way urgent paediatric care is delivered. Through our innovative Virtual Urgent Care Service, we support children and young people aged 0–17 years across NSW, providing timely, high-quality care without the need for traditional hospital visits.

We are seeking a motivated and organised Administration Officer to join our growing Administration Team. In this pivotal role, you will be the backbone of our service—supporting clinicians, coordinating care, and ensuring our virtual operations run seamlessly.

      About the Role

As an Administration Officer, you will work within a 7-day rotating roster, covering morning and afternoon shifts (no night duty). You will collaborate closely with nursing, medical, and management teams, supported by the Administration Service Manager for CYPFYS, Clerical Manager, NUM, and the NSW Virtual Urgent Care Project Manager.

This is a dynamic role offering variety, responsibility, and the opportunity to make a meaningful difference in children’s lives every day.

      Key Responsibilities

      • Call Coordination: Act as the first point of contact for families, professionally triaging and directing calls to the appropriate nursing staff.
      • Roster Management: Coordinate and maintain nursing, medical, and administrative rosters to ensure consistent service coverage 7 days a week.
      • Supply Chain Management: Order and manage essential supplies to support virtual service delivery.
      • Patient Admissions & Appointments: Manage patient admissions and appointment bookings using the Patient Management System.
      • Discharge Coordination: Prepare and distribute discharge correspondence to General Practitioners, ensuring continuity of care.

Recruitment Support: Assist with recruitment and onboarding activities as the service continues to expand.

      About You

      • You will thrive in this role if you:
      • Demonstrate strong organisational and time-management skills
      • Communicate clearly, professionally, and compassionately
      • Are confident using administrative systems and technology
      • Are committed to high standards of patient care
      • Are adaptable and enthusiastic about supporting an evolving virtual healthcare service

Enjoy working as part of a collaborative, multidisciplinary team
