      SUMMARY

      Housing for Health (HFH) is a program office within Health Services Administration, a division under the Los Angeles County Department of Health Services (DHS). HFH was created and put into implementation in support of the Los Angeles County Homeless Initiative recommendations in response to and in support of the County’s effort to address and combat homelessness in the communities residing within Los Angeles County. Our organization follows a hybrid work structure where employees work both remotely and from the office, as needed.

      The Administrative Assistant provides general administrative/technical support and highly specialized clerical duties, tasks, and functions for the Street-Based Engagement and Mobile Clinic teams. The position shall function in a support capacity performing duties directed in scope and difficulty.

      ESSENTIAL FUNCTIONS

      • Performs clerical and typing duties requiring a deep knowledge of organization, time management, and utilizing Microsoft Office Suite.
      • Completes general administrative tasks, including data entry and tracking, organizational follow-up, and operations within appropriate databases.
      • Processes, edits, and creates/develops an array of various documents (e.g., Word, Excel documents, etc.).
      • Screens electronic inquiries such as emails and telephone calls and furnishes requested information/refers inquiries, calls, and emails to others better qualified to assist.
      • Schedules appointments and arranges conferences, training, and meetings for HFH personnel as applicable; coordinates and schedules internal and external personnel concerning HFH business; maintains calendars, vacation calendars, etc. as needed.
      • Prepares and photocopies meeting materials, agendas, handouts, training materials, and presentations.
      • Attends meetings as needed with HFH personnel, takes notes, and prepares meeting minutes/action items.
      • Supports preparation of reports, spreadsheets, documents, literature, material, and forms.
      • May assist in data collection, analysis, and interpretation as needed.
      • Performs other clerical, general administrative/technical assistance duties as needed.

      Education/Experience

      • Minimum of one year’s experience in a responsible capacity analyzing and making recommendations for organization, procedure, program, budget, or personnel.
      • A strong desire to serve individuals experiencing homelessness within LA County.
      • Bilingual fluency is strongly preferred.

      Certificates/Licenses/Clearances

      • A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.
      • Successful clearing through the Live Scan and the Health Clearance process with the County of Los Angeles.

      Other Skills, Knowledge, and Abilities

      • Excellent written and verbal communication skills, including the ability to express technical concepts clearly to both technical and non-technical audiences.
      • Strong project management and relationship building priorities.
