      Administrative Assistant II:

      Performs administrative office support-related work for department staff, the general public, and one or more projects and specialized programs. Work requires contact with middle and high-level managers and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

      Administrative Assistant III:

      Performs administrative office support-related work for department staff, the general public, and one or more projects and specialized programs. Work requires contact with high-level managers, executives, governmental officials and private entities. Serves as a lead worker.. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

      Essential Duties:

      Administrative Assistant II - III include:

      • Attends meetings and prepares official reports/minutes.
      • Coordinates, organizes, and composes meeting agendas.
      • Uses database, spreadsheet or graphics software applications to prepare complex statistical reports and presentations and verifies for accuracy and completeness.
      • Answers the telephone, evaluates requests, answers questions, routes messages, and serves as receptionist or front desk assistant.
      • Conducts annual physical inventory; verifies inventory findings, reconciles and enters adjustments in computer system as needed.
      • Maintains records and inventories of materials, supplies and equipment.
      • Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and travel arrangements.
      • Processes receipts and invoices for payment.
      • Creates requisitions, blanket purchase orders, and enters receipts in PeopleSoft in support of the division or district.
      • Coordinates travel services to include making travel arrangements, securing transportation and lodging services, and submitting reimbursement on the traveler’s behalf.
      • Performs other job responsibilities as assigned.

      Additional essential duties for Administrative Assistant III include:

      • Reviews information going to the supervisor and highlights important matters; researches and provides additional information as needed; briefs supervisor on background information needed for meetings.

      Minimum Qualifications:

      Administrative Assistant II:

      Education: High School Grad or Equivalent in general high school studies.

      Experience: 1 year administrative or clerical support, customer service, business operations, communications, informational, or related experience. (Experience can be satisfied by fulltime or prorated parttime equivalent). College education and/or relevant technical training may be substituted for experience on a year per year basis. Substitutions for Minimum Qualifications

      Administrative Assistant III:

      Education: High School Grad or Equivalent in general high school studies.

      Experience: 3 years administrative or clerical support, customer service, business operations, communications, informational, or related experience. (Experience can be satisfied by fulltime or prorated parttime equivalent). College education and/or relevant technical training may be substituted for experience on a year per year basis. Substitutions for Minimum Qualifications

      Licenses and Certifications: Valid driver’s license. This position requires driving a state vehicle.

      Competencies:

      Administrative Assistant II include:

      • Applicable computer systems and applications
      • Public relations for maintaining effective working relationships with individuals and groups, both internal and external
      • Coordinating and scheduling activities/resources
      • Administrative support practices and procedures to include writing, editing and report writing techniques, recording meeting notes, record keeping and records management
      • Preparing and maintaining confidential and sensitive records, files and reports
      • Using computers and applicable programs, applications, and systems
      • Maintaining a safe working relationship

      Additional competencies for Administrative Assistant III include:

      • Protects sensitive and confidential information

      Additional Conditions of Employment:

      • Required to work weekends and holidays
      • Required to work hours other than 8 to 5.
      • Required to work under exposure to inclement weather conditions.
      • Required to wear personal protective equipment provided by employer and comply with all safety requirements.
      • Employee may be contacted during off-duty hours to see if he/she can report to work for emergency situations.
      • This position must be available to support field personnel during emergency situations including inclement weather events
      • Must attend work regularly and observe approved work hours.
