- Performs administrative secretarial duties for the Department Director.
- Provides administrative support to Development Services including the Planning, Development Center, Code Enforcement, and GIS Divisions.
- Maintains filing and record-keeping systems and maintains record retention system for the department.
- Maintains personnel and performance evaluation files and prepares personnel action forms.
- Maintains fixed asset system and inventory records.
- Maintains or oversees maintenance of CDBG filing system.
- Maintains or oversees maintenance of MPO filing system
- Attends and MPO, Building Standards Commission, and Board of Adjustment's meetings and records minutes.
- Answers Code Enforcement calls and directs calls as appropriate.
- Assists with monitoring departmental expenses, prepares periodic reports and assists with annual budget preparation.
- Coordinates purchasing process for the department.
- Processes time sheets, leave requests, travel requests and other related records.
- Prepares correspondence drafts and other written work as requested.
- Regular attendance at work and arrives on time.
- Performs all other job-related duties as assigned or as apparent.
- Ability to get along with other employees and the public.
- Performs other duties as assigned.
- Applicable local, State, and Federal laws, codes, regulations, and ordinances.
- General office policies, procedures, and practices.
- Records maintenance and retention practices and procedures.
- Customer service principles, practices, and etiquette.
- Operating a personal computer and standard office equipment.
- Interacting tactfully and professionally with City staff, outside agencies, and the public.
- Organizing work and setting priorities to meet deadlines.
- Working on multiple tasks simultaneously.
- Typing and entering data with speed and accuracy.
- Maintaining accurate records and filing systems.
- Preparing clear and concise reports.
- Communicating effectively both verbally and in writing.
- Establishing and maintaining effective working relationships.
The City of Victoria is now hiring for Administrative Assistant III for our Development Services Department! This exciting opportunity will serve as secretary/assistant to the department director, provides administrative support to division managers and intake for Code Enforcement.

Salary amount offered will depend on qualifications. This is a non-exempt position.Work is performed in a standard office environment.
Education, Training, and Experience Guidelines:
High school diploma or GED equivalent AND one (1) to three (3) years of customer service or clerical related experience; OR an equivalent combination of education, training, and experience.
Knowledge of:
Employee has direct contact with citizens and all levels of employees when answering inquiries, taking messages, and directing referrals to the proper departments. Employee works as a receptionist, answering inquiries, processing information, or making referrals to the proper staff person.
LICENSE AND CERTIFICATION REQUIREMENTS
