      POSITION SUMMARY:

      Under the supervision of the Senior Director of Membership Engagement, the Administrative Assistant III will manage the daily office functions of the branch including, but not limited to, We Build People Annual Campaign data entry, volunteer database management, managing office supply orders, attending and recording minutes at Advisory Board meetings, as well as provide other administrative support to the branch as requested. They are responsible for managing those functions in accordance with the stated mission, goals, and policies established by the administrative staff, governing committees, and the Board of Directors of the YMCA.

      ESSENTIAL FUNCTIONS:

      • Models relationship-building skills in all interactions. Develops and maintains collaborative relationships with community organizations
      • Builds positive relationships with members and staff by serving needs and concerns and taking the initiative to provide excellent customer service.
      • Creates a team environment that concentrates on delivering exceptional service to members and participants.
      • Maintains regular, clear, and concise communication within area of responsibility.
      • Process and be accountable for revenue generated in Personify each shift including batch reconciliation.
      • Provide support in Personify which could include, but is not limited to, support for members and potential members, reporting duplicate records, maintaining/updating customer salutations, etc.
      • Assists with the YMCA Annual Campaign through development of staff team, recruiting volunteers and meeting annual fundraising goals as assigned.
      • Manages data entry, support and reporting for the We Build People campaign. Supporting events and other areas as needed including training WBP volunteers and staff on campaign tools.
      • Attends, takes minutes for branch advisory board meetings. Supports branch director with rosters, meeting reminders and other duties as needed.
      • Manages inventory of office supplies, ordering clothes, name tags and stocking as needed.
      • Offers administrative support for Accounts Payable needs for the branch including invoices for the Chamber of Commerce, rotary, and others as needed.
      • Assists in the coordination and administration of the branch’s volunteer programs.
      • Manages volunteer database, Volunteer Matters, ensuring accurate entry of volunteer information and opportunities
      • Performs other duties and responsibilities as assigned by supervisor.

      QUALIFICATIONS:

      • 1 to 3 years of experience in general office administration.
      • Strong computer skills, including Word, Excel and HRIS systems.
      • Excellent oral and written communication skills.
      • Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
      • Capability to communicate procedures in a positive and professional manner to individuals and/or large groups across all levels of employees.
      • Exceptional organizational and time management skills, and the initiative to be a self-starter with minimal direction and supervision.
      • Must be dependable, efficient, and maintain a high level of confidentiality.
      • Multi-lingual desired but not required.
