Serve as office manager, organizing records, streamlining office processes, and maintaining filing systems.
Provide responsive and courteous customer service by answering phone calls, responding to public inquiries, and assisting with community engagement efforts.
Perform accurate data entry in systems such as Zuercher and TRAC, maintaining records for arrests, citations, training, and incidents.
Support financial operations by reconciling credit card statements, processing invoices and purchase orders, and preparing grant claims and reports.
Maintain confidential personnel and financial records with discretion and professionalism.
Coordinate internal and public events including meetings, hiring and retirement ceremonies, and community outreach programs.
Assist with updating the Police Department’s webpage to share information and enhance public communication.
Order and track office supplies and ensure the functionality of office equipment.
High school diploma or GED required; additional college coursework or a degree in administrative support, accounting, or a business-related field is a plus.
At least three (3) years of responsible administrative support experience, or a combination of experience, education, and training that provides the knowledge and skills needed for the role.
Must be able to pass a post-offer background check, physical exam, and drug screening.
Possess a valid Iowa Driver’s License and meet the requirements of the City’s motor vehicle policy.
Exceptional organizational and time-management skills.
Ability to work independently and manage multiple tasks in a busy environment with frequent interruptions.
Strong communication skills — written, verbal, and interpersonal.
High level of professionalism, confidentiality, and ethical standards.
Strong customer service orientation with the ability to remain calm, respectful, and solution-focused under pressure.
Ability to build and maintain effective working relationships with staff, community members, and outside agencies.
Proficient in Microsoft Office (Outlook, Word, Excel), internet browsers, and email platforms.
Willingness and ability to quickly learn new software (e.g., Zuercher, TRAC).
Comfortable using standard office equipment — phones, copiers, scanners, postage machines, etc.
Familiarity with municipal government operations.
Understanding of municipal operations, the Code of Iowa, FOIA regulations, and the difference between civil and criminal legal matters.
The Fort Dodge Police Department is seeking a dedicated and detail-oriented Administrative Assistant to provide advanced administrative support and contribute to the smooth, professional operation of the department. This essential role supports leadership and staff with a range of administrative, fiscal, and customer service responsibilities to ensure high-quality service to the community.
