      As Regional Office Administrator (ROA), you will be responsible for the administrative and organizational management for 1 Head of Patient Experience and 1 Field Vice President – Field Reimbursement. The incumbent will provide essential administrative support within the Patient Experience-Reimbursement Teams in a manner that exhibits excellent organizational and prioritization skills for an environment with constant change and a broad scope of internal/external requests and needs, while exercising integrity when working with sensitive/confidential information.

      This role will provide YOU the opportunity to lead key activities to progress YOUR career, these responsibilities include some of the following…

      • All Employee Processes /Transactions
        • Meeting Management, Catering and T&E reconciliation.
        • Manage/process all transactional employee changes and ensure that all are coordinated within multiple internal systems and departments (new hires, onboarding, resignations/terminations, promotions, transfers, job changes and training cycle coding) utilizing internal software.
      • Meeting Management
        • Follow processes and guidelines for Meeting Management, Catering and T&E reconciliation.
        • Initiate, manage, negotiate and secure vendor/hotel sites/contracts, group travel arrangements as well as plan and coordinate agenda/activities for all meetings.

      • Calendar Management
        • Manage Head and FVP calendar to optimize time and prioritize activities, identify conflicts and maximize effectiveness, including weekly meeting cadence.

      • Manage Head & FVP Travel
        • Proactively and within policy, coordinate, arrange and book flights, rail and other ground travel, hotel, rental car, etc.

      • Expense Management
        • Prepare and submit accurate expense reports as required on a timely basis.

      Basic Qualifications:

      We are looking for professionals with these required skills to achieve our goals:

      • High School diploma and 4 years work experience in an administrative capacity within a complex organization OR...
      • Associate degree and 2 years experience in an administrative capacity within a complex organization

      Preferred Qualifications:

      If you have the following characteristics, it would be a plus:

      • Bachelors degree
      • Excellent oral and written communication skills in English
      • Service orientated attitude with an ability to manage competing priorities
      • Ability to interact effectively in a matrix organization ( all levels of stakeholders)
      • Flexible approach, easily adapting to changing circumstances
      • Advanced Computer Hardware and Software skills to include Microsoft Outlook, PowerPoint, Word and Excel, MS Teams, Workday, Workplace, Veeva Vault + VAlign, SAP (e.g., Fiori, Ariba), ServiceNow or other similar ticketing systems, Concur (T&E system),
      • Experience in providing secretarial support to senior leadership (CEOs, CBO’s etc. and their Admins)
      • Excellent organizational skills with high attention to detail, including ability to handle complex travel arrangements and organize cross-site events
      • Project Management: Ensure endorsed projects are aligned to performance and/or development items
      • Strong organizational and administration skills
      • Additional depth of experience to coordinate with multiple stakeholders
      • Excellent team player with good listening skills and ability to work unsupervised
