      SUMMARY Reporting to the Manager, Career & Newcomer Services, the Administrative Assistant is a student position under the Canada Summer jobs program to provide support to the Skilled Newcomer Incentive Bond [SNIB] Project. This 8-week position provides students to work (as per scheduled) in the office and may also include some remote work from home.

      Duties & Responsibilities

      • Support the effective operations of SNIB Project providing a wide scope of administrative services
      • Book and record virtual meetings in Zoom and other virtual platforms, and handling meeting-related files
      • Receive project inquiries, assess eligibility, register eligible participants, and refer ineligible individuals to better suited programs
      • Maintain computerized/cloud filing systems
      • Escalate issues to the Manager in a timely manner, anticipate and mitigate roadblocks impacting project deliverables
      • Assist in developing PowerPoint presentations
      • Conducting online research such as identifying networking events, job postings, and resources for project participants
      • Providing customer service
      • Other duties as required

      Qualifications

      • Enrolled in full-time studies in Business, Administration, Social Services, or equivalent
      • Up to 1 years’ experience in an administrative-level role within a fast-paced and dynamic environment
      • Excellent techology skills (MS Office Suite, Zoom, Google Suite, DocuSign, Adobe, Sharepoint, etc.) and an aptitude to learn new technologies autonomously
      • Strong customer service focus, with excellent communication skills, both verbal and written, for dealing with a wide range of individuals
      • Excellent ability to juggle multiple priorities while adhering to processes and deadlines
      • Independent and self-motivated, with the ability to take the initiative in liaising with other departments and/or external resources
      • Analytical and problem solving skills
      • Ability to maintain a high level of confidentiality
      • MUST be qualified to work in Canada legally
