      Job Title: Administrative Assistant to TPRS Coordinator

      Wage/Hour Status: Non-Exempt

      Reports to: Coordinator to TPRS

      Pay Grade: Clerical Pay 5

      Dept. /School: Administration

      Days: 227

      Supervises: NA

      Primary Purpose: The goal of the Administrative Assistant is to assist the Teen Parent coordinator in maintaining a confidential, professional, pleasant atmosphere while accomplishing multiple tasks as quickly and efficiently as possible. Works with and positively impacts identified at-risk children from a varied backgrounds in conjunction with State Compensatory guidelines to prevent students from dropping out and encourage students to graduate.

      Qualifications:

      Education/Certification:

      • High School Diploma or equivalent preferred

      Special Knowledge Skills:

      • Skill and experience in all office procedures
      • Skill and experience with computer software programs/technology

      Experience:

      • Successful Office Experience
      • Excellent organizational and time management skills

      Major Responsibilities and Duties:

      • Assist the coordinator in the preparation of the annual program budget.
      • Maintain and keep accurate accounts of budgeted funds.
      • Process and record all requisitions, purchases orders, and invoices pertaining to budget funds
      • Maintain and enter requisition all office supplies, postage, office machine, maintenance, contracts and services charges, etc.
      • Maintain and assist with MOUs.
      • Reports, collect data and complete the reports as assigned, summer addresses for payroll office and personnel, Award banquet.
      • Maintain and prepare payroll staff personnel, KRONOS, Extra Duty Payroll, and Tutors.
      • Assist all calls, students, parents, or staff on directions and/or information needed, take messages, and see that all message is delivered to the appropriate individuals.
      • Prepare student working folders with intake and student information from Ascender, and confirm that each student has been coded properly.
      • Assist with maintaining homebound logs and attendance weekly.
      • Maintain all inventory for the department, and prepare inventory check out to staff and students.
      • Assist and maintain organization skills for the department, TEAMS, Employee Folders, weekly counts, daily use of vans, etc.
      • Handle correspondence for the program, sort and distribute mail, and report maintenance problems or technical issues.
      • Assist and coordinate the department webpage, Twitter, and Facebook page, scheduling events such as health educational fairs, field trips, and senior celebrations.
      • Create spreadsheets on excel, and PowerPoint, convert PowerPoint to movie and upload on YouTube.
      • Encourage and support students to maintain a healthy education by mailing birthday cards monthly and assisting with six weeks’ celebrations for academic performance.
      • Responsible for entering and maintaining personal SMART goals yearly.
      • Assist with team building.
      • Other duties as assigned by the coordinator

      Work with frequent interruptions; maintain emotional control under stress; Repetitive hand motions; prolonged use of the computer. Occasional prolonged and irregular hours.
