      A Day in the Life…

      Reporting to the Chair, Sociology, the Administrative Coordinator & Graduate Advisor provides reception, graduate advising, administrative, and coordinating support for the Sociology Department.

      As the Administrative Coordinator & Graduate Advisor, you will:

      • Provide phone, in-person, and e-mail reception;
      • Create, maintain, and update graduate program databases and run reports as required;
      • Process graduate and undergraduate course grades;
      • Coordinate teaching assistant (TA) applications for incoming full-time graduate students and prepare and maintain master files for all TA applications;
      • Coordinate and prepare a summary of graduate and undergraduate course evaluations;
      • Coordinate, attend, and professionally minute Department Meetings and Retreats;
      • Assist in the preparation of the graduate Calander/UPC submission for the next academic year;
      • Advise prospective and current students on all aspects of the MA in Critical Sociology program, including online registrations, orientation, faculty contacts, course availability and selection, major research paper (MRP)/thesis stream options, change of status options, submission of thesis and MRPs, defence procedures, program governance, course material access, graduate office issues, research money eligibility, and program sponsored events;
      • Summarize graduate application files for review by admissions committee; conduct admissions-related procedures;
      • Design, maintain, and update the program websites (graduate and undergraduate) and social media presence;
      • Prepare for and participate in graduate and undergraduate community outreach and events and departmental retreats;
      • Maintain and reconcile program budgets and accounts, including submitting expense reports and cheque requisitions.

      What you need to Succeed…

      • Undergraduate degree, preferably in the Social Sciences, or equivalent combination of education and experience;
      • 2-4 years of experience in an administrative support capacity;
      • Knowledge and appreciation of, and sensitivity to, issues of diversity and equity in society;
      • Thorough knowledge of the Sociology academic programs (graduate and undergraduate) and the structure of the University;
      • Familiarity with records management and the Freedom of Information and Protection of Privacy Act;
      • Computer skills including word processing, excel spreadsheets, database, graphics, internet and web page design/maintenance skills, email, BrockPortal/SharePoint/Teams/Maxient/Adaptive/Workday, converting digital files produced by different application software;
      • Ability to establish and maintain cooperative and effective relationships with others, including students, faculty, staff, and community members;
      • Excellent judgement and interpersonal skills;
      • Excellent customer service and written, oral, and listening skills;
      • Ability to handle problems and suggest appropriate solutions with minimal supervision;
      • Ability to establish priorities to perform a variety of complex reception, administrative, coordinating, and advising duties requiring initiative, sound judgment and discretion.

      Preferred or Asset Skills…

      • Work experience in a University academic department preferred.

      Salary and Benefit Information

      • Job Grade (J), Salary Scale ($45,866-$63,653)*;
      • This is a 12-month contract with benefits.

      This position is included in the Ontario Secondary School Teachers Federation (OSSTF) Union and:

      • Salary is therefore determined by the OSSTF Collective agreement. *
      • New members shall be placed on the salary grid at the entry-level. *
