Job Description

- Support event planning & volunteer management, including processing volunteer screenings and applications in our Volunteer Management System
- Prepare written & verbal correspondence on behalf of CEO
- Serve as the Board Liaison:
- Prepare and maintain board & committee meeting documents
- Schedule board, committee meetings, retreats, or other board gatherings
- Prepare CEO Reports for board meetings
- Work closely with the People & Culture department by supporting the planning and execution of Employee Engagement Opportunities including Diversity Council, Staff Appreciation, and Staff Engagement initiatives.
- Responsible for confirming CEO travel
- Create necessary presentations for speaking engagements, meetings, etc
- Prepare monthly staff, senior leadership, & program director meeting agendas and documents
- Responsible for all CEO travel planning while on Center on Halsted business including air and ground transportation, hotel and conference reservations.
- Welcomes visitors and guests by greeting them, in person or on the telephone; answering or directing inquiries.
- Perform administrative duties, as required. Including, but not limited to the following: filing, mailing, sorting mail, copying, faxing, invoice/expense report processing, and ordering supplies
- Maintain CEOs calendar through scheduling, rescheduling, and blocking out meeting dates and times
- Maintain confidentiality
- Work alongside full COH team to provide support on special projects, initiatives, programs, or services
- Communicates effectively with diverse populations, including all Center on Halsted stakeholders (donors, volunteers, staff, community partners, clients, interns, etc )
- Support programming and initiatives across our footprint including Center on Cottage Grove & Center on Addison
- Support special initiatives, as needed (i.e. Cottage Grove Advisory Board, Midwest Pride Summit, Auxiliary Board, Inclusive Futures Leadership Institute)
- Other duties as assigned
Essential Functions:
The Administrative Coordinator provides administrative support to the Chief Executive Officer and other organizational leadership, as necessary. Their duties include managing schedules, coordinating meetings, drafting correspondence, preparing reports and presentations, organizing travel, and ensuring efficient office operations.
The Administrative Coordinator serves as a key point of contact between executives and internal or external stakeholders and may support community outreach and engagement efforts.
