      PURPOSE

      The Administrative Coordinator I works under general supervision and provides advanced administrative support to the Division of Research and Innovation, exercising discretion and independent judgement with respect to matters of significance.


      DESCRIPTION

      • Provides advanced administrative support to Division of Research and Innovation (R&I) leadership. Maintains calendars and office schedules.
      • Coordinates and maintains R&I social media presence across platforms, including creating compelling content.
      • Maintains division website by processing changes and updates.
      • Creates flyers and other marketing materials in support of R&I units, events, and initiatives.
      • Follows all TAMU-CC Procurement Card (Pcard) guidelines and internal R&I policies to remain compliant in purchasing. Responsible for Pcard reconciliation and expense reports, including submission in a timely manner.
      • Books efficient and cost-effective airline, hotel, and other travel reservations (conference registration, cancellations, and changes) within university and R&I guidelines. Processes travel authorizations and expense reimbursements in a timely manner.
      • Responsible for office reception area duties including, but not limited to, ensuring reception area coverage, responding to inquiries, monitoring department email, answering phone calls, and greeting students and visitors.
      • Demonstrates professionalism and quality customer service by developing positive working relationships with office personnel and various stakeholder groups.
      • Assists with R&I special projects and initiatives.
      • Assists senior staff with executive-level visits, meetings, and events.
      • Assists with the planning and execution of R&I events including, but not limited to, scheduling, catering, décor, and facility arrangements.
      • Processes and maintains complex confidential matters.
      • May work outside of regular business hours in support of university and division events.
      • Performs other related duties as assigned.

      WHAT YOU WILL NEED

      EDUCATION AND EXPERIENCE

      • Bachelor’s degree.
      • Two (2) years of related experience.

      KNOWLEDGE, SKILLS AND ABILITIES

        • Intermediate skills in Microsoft Office 365 (Word, Excel, PowerPoint, and Outlook).
        • Ability to be flexible and work in a fast-paced environment.
        • Demonstrate commitment to service excellence.


        WHAT THEY WOULD LIKE TO SEE

        • Experience at an institution of higher education and/or executive level office setting.
        • Experience with social media and graphic design.
        • Some knowledge of research administration, compliance, development, and outreach fields.
        • Experience with Concur, Workday, and other relevant software.

        SALARY: $40,000.00 Annual
