- Manage administrative staff day-to-day for effectiveness by coordinating the responsibilities of support staff as required for efficient operation of the department. Will also actively work to create collaboration and a strong bond between team members, both internal and external to the department.
- Assist in the development, implementation, and maintenance of the long-term strategy and business objectives of the City Secretary.
- Provide leadership and oversight for the Administrative Staff in the City Secretary’s Office, including all operations, assigned staff, equipment, and materials/supplies. Oversee division performance measures, intranet pages, strategic projects, and other initiatives.
- Provide direction and supervision to staff including but not limited to defining duties and responsibilities to fulfill established service level expectations and division goals and objectives. Responsible for the hiring, development, training, and discipline (as needed) of staff, as well as the completion of annual performance plans and evaluations. Ensure all staff fully understand their roles and responsibilities within the organization; provide constructive feedback and coaching as needed. Objectively document performance issues and address concerns in a prompt and professional manner.
- Assist and monitor the preparation of various agendas, agenda items, and communication including City Council, boards, and commissions.
- Assist in the preparation of the department budget and monitor department expenditures. Approve administrative requisitions for purchases and maintain the department program accounts within budget limits.
- Ensures that employee records and files are maintained in accordance with state and federal record retention laws.
- Required to work as an essential employee before, during, and after an emergency or disaster, whether natural or acts of war.
- Stay abreast of, and comply with, all City and departmental policies and procedures.
- Perform any other duties or special requests as directed by the City Secretary or Deputy City Secretary.
- Bachelor's degree in Business Administration, Public Administration, or Public Management from an accredited school or university.
- Five years of progressively responsible experience in the functional areas of project management, office management, or a related discipline.
- Additional relevant work experience resulting in acceptable proficiency levels in the above knowledge may be substituted in lieu of specific education requirements.
- Valid Texas Driver's License.
