      Position Summary:


      Provide efficient and effective administration to School, in support of teaching, research and administration, in accordance with the unit's goals and objectives, while ensuring coherence with the University's mission and culture. Plan, develop and implement administrative processes and policies for the unit. Develop administrative standards, practices and systems. Provide a liaison function with other units and with external organizations. Support activities related to general administration including, but not limited to: finance, human resources, communications, student affairs, physical resources, archives, governance and legal affairs. Manage research administration, contracts, grants, philanthropic gifts or other formal relationships. Interpret and apply University regulations, policies and guidelines. Perform functions related to planning and institutional analysis.


      Primary Responsibilities:

      • Deliver and organize the Finance, Student Affairs and Human Resources activities to support the daily operations of the school by ensuring that these services are carried out in accordance of compliance and with established objectives.

      • Develop and implement procedures for efficient functioning of the department. Organizes activities in support of the daily running of the departmental office.

      • Oversees research grant management process for the school.

      • Analyzes and compiles data for annual report, for Director’s attention. Ensures compiling of statistics on students, research grants, student funding, and compiling results of ALISE statistical survey, participates in the process for internal cyclical review and accreditation.

      • Implements procedures for graduate student affairs and ensures that standards are met. Works with the placement supervisor and the student in an advisory capacity if practicum work performance or assignments do not warrant a passing grade, intervening through a Practicum Intervention, if and as required. Provides financial information to the GPD in order to award travel grants.

      • Oversees the organization of meetings, conferences, invited speaker series, and annual Practicum Information Session. Attends meetings to represent the department. Takes minutes at Departmental meetings.

      • Manages the budget planning, forecasting; creates scenarios for the department chair and provides solutions. Prepares and submits operating, summer, capital equipment and alteration budgets. In collaboration with the Director, ensure the various funds the School holds are used properly and in the best interest of the School.

      • Manages and tracks all financial operations on operating and non-operating funds, ensures expenditures are within the regulations of the fund. Liaises with various financial services units to keep training and procedures up to date. Approves transactions made by other people in the unit.

      • Drafts reports for various committees and for the Director for cyclical review, accreditation, and other special projects.

      • Supervises and assesses performance of two administrative and support staff, as well as casuals.

      • Handles all HR functions for faculty members, casual employees and sessional lecturers. Responsible for academic and administrative hiring process, staff development, processing appointments for new staff, onboarding of new faculty members, immigration issues for academic and graduate students, assist the Director with academic merit and supervision of Administrative Coordinator for other transactional HR functions such as payments and TA contracts.

      • Act as building Director, manage building access, supervise maintenance projects, follow up on requests made through FCC, approve work order estimates.

      Other Qualifying Skills and/or Abilities:

      Demonstrated organizational skills, experience in managing a unit and supervising staff. Proven leadership, initiative, determination, creativity in solving problems. Ability to work independently and manage multiple projects. Strong communication skills and ability to interact positively and effectively on a professional level with internal and external parties. Proven experience in handling academic affairs, human resources, research grant administration, budgeting, student affairs and advising, promotions, and recruitment. Demonstrated ability to work in a computerized environment including knowledge of Workday and Microsoft Office Suite. Experience in accounting, data analysis, budget forecasting, project management, event organization and social media. English spoken and written, French spoken.

      Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 4 (Fluent) on a scale of 0-4.

      (MPEX Grade 04) $62,550.00 - $78,190.00 - $93,830.00
