      The Arizona Department of Correction, Rehabilitation & Reentry is looking for a positive individual to provide administrative support to the unit manager.
      This position also requires to compose and type letters, memos, and various weekly/monthly reports, handle material of confidential nature, reviews, research and compile information for different projects at the Arizona State Prison Complex - Douglas.

      Job Duties:

      - General administrative functions for the unit manager
      - Directs correspondence to the manager
      - Screens calls
      - Answers routing questions and furnishing information, composes correspondence on a wide variety of subjects requiring full knowledge of policies and procedures
      - Schedules appointments and coordinates arrangements for meetings and conferences
      - Organizes and maintains confidential administrative files
      - Collects summaries for unit budget preparation, reconciles funds and files documents
      - Serves as timekeeper
      - Gathers, enters time, distributes, and files Positive Attendance Records
      - Ensures the overtime report is completed on a daily basis, and other reports as requested
      - Gathers and summarizes data to generate various reports to include Temporary Work Assignment, Monthly Statistical Report, Extended Leave Requests, Family and Medical Leave Act, Inmate letters, Information Reports, 703 reports and retains documentation for audit purposes
      - Acts as the policy liaison ensuring that all post orders, departmental policies and procedures are current
      - Maintains files in accordance with established records retention schedule to include current and archived documents, ensures audit documents are filed daily and areas are neat and orderly
      - Ensures documentation is destroyed within policy guidelines
      - Generates purchases orders and distributes to various staff, orders and maintains office supplies and files for the unit
      - Assists in quarterly inventory and purchases of supplies
      - Functions as the lead office support and serves as a backup for clerical support staff in their absence
      - Trains other clerical staff
      - Drives on State business
      Performs other duties appropriate to the assignment

      Knowledge, Skills & Abilities (KSAs):

      Knowledge of:
      - General office practices and procedures
      - Computer usage and various software programs (Microsoft Suite and Google Suite)
      - Business English and basic mathematics
      - Payroll practices and procedures

      Skill in:
      - Composing and maintaining routine correspondence, including proper format
      - Spelling and language usage
      - Verbal and written communication
      - Providing detail oriented results
      - Record keeping and report generation
      - Applying time and project management
      - Scheduling and coordinating meetings
      - Establishing and maintaining interpersonal relationships
      - Taking and transcribing meeting minutes

      Ability to:
      - Maintain files of correspondence, records and reports
      - Maintain confidentiality
      - Adapt to changing priorities
      - Learn and adhere to department policies and procedures
      - Work in a prison environment
      - Handle detailed work with accuracy and speed

      Selective Preference(s):

      - Two years professional office experience and proficiency in Microsoft and Google Suite.

      Pre-Employment Requirements:

      Employment is contingent on the selected applicant passing a background investigation and drug test*.

      In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter.

      If this position requires driving or the use of a vehicle as an essential function of the job, then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).

      Retirement:

      Positions in this classification participate in the Arizona State Retirement System (ASRS).

      Enrollment eligibility will become effective after 27 weeks of employment.
