      The King County Road Services Division is seeking two (2) Administrative Specialist IIIs to provide essential support and office management for the Engineering Section. This role involves close collaboration with payroll staff, section and unit managers, and employees, while managing diverse administrative and coordination responsibilities with efficiency and precision.       Applying equity, racial, and social justice principles is a daily responsibility and a foundational expectation for all King County employees. In this role, you will apply equity and social justice principles that exemplify shared values, behaviors, and practices to all aspects of the work.

      • Provide administrative and office management support to the Engineering Section (managers, supervisors, and a staff of 100+ employees).
      • Draft, review, edit and proofread written materials; format a variety of content, including charts, graphs, spreadsheets, and tables.
      • Manage accounts payable operations, including invoice processing, budget charge tracking, payment authorization, reconciliation, and record keeping.
      • Provide customer service to internal and external customers; research requests and provide accurate information/reports.
      • Review and validate employee timesheets in PeopleSoft, ensuring accurate budget charge coding for multiple projects.
      • Research and assist in resolving errors or discrepancies in invoice charges.
      • Prepare and process invoices, including staff purchases for project or program use.
      • Utilize P-Cards for purchases, ensure accurate POETA coding and reconcile related bank statements.
      • Input invoices into Oracle for P-Card Payment, Requisition payments, Employee Reimbursements, forward them to appropriate department/personnel for approval, and oversee the authorization process to ensure completion.
      • Order and maintain inventory office supplies; schedule routine maintenance/repairs for office equipment
      • Process incoming mail/correspondence, forward to appropriate staff, and prioritize sensitive matters.
      • Prepare and review Administrative, Personnel forms, and other forms requiring appropriate signatures and routing to DocuSIgn
      • Tracking and updating of Employee list, telecommute, Alternate Work Schedules, Training
      • Perform other duties as assigned.
      • Minimum of two (2) years experience providing increasingly responsible administrative support, or any combination of education, skills, training and experience that clearly demonstrates the ability to perform the duties of this position.
      • Demonstrated experience processing payroll and accounts payables.
      • Ability to work on multiple tasks requiring a high degree of accuracy in a high pressure/short deadline/precise schedule environment.
      • Demonstrated ability to work independently and part of a team, and effectively plan, organize, and prioritize work on a daily basis.
      • Demonstrated experience providing customer service to internal and external customers.
      • Ability to foster and sustain productive working relationships with diverse teams, customers, and vendors.
      • Proficient in the use of Microsoft Office Suite (Outlook, Teams, Excel and Word).
      • Clear and effective verbal and written communication skills demonstrating discretion, patience, and professionalism.
      • Ability to maintain high degree of confidentiality with sensitive and personal information.
      • Knowledge of general office principles and practices.
      • Ability to contribute to a collaborative team environment that values diversity, fosters inclusion, and respects individual differences; ability to demonstrate behaviors that include fairness, respect, and inclusiveness.

      DESIRED QUALIFICATIONS:

      • Experience with PeopleSoft payroll system (Oracle EBS).
      • Experience working in a public works unionized environment.

      REQUIREMENTS:

      • Valid Washington State Driver's License

      INTERVIEW SCHEDULE:
      Those applicants who pass the initial screening will be invited to participate in a 15-minute phone interview the week of 8/18/2025.
      If you are selected to move forward after the phone interview, you will be invited for a 45-minute virtual interview the week of 8/25/2025.


      WHO MAY APPLY:

Special duty opportunities are open only to current King County career service employees who have completed their initial probation. Special duty applicants must have approval from their current supervisor to accept an assignment. Current employees selected for special duty will be compensated based upon the provisions of the collective bargaining agreement, King County Personnel Guidelines, or Coalition Labor Agreement for their base assignment.

      WORK SCHEDULE AND LOCATION:
      The work week is normally Monday through Friday, 8.00 a.m. to 5:00 p.m., but may at times require work outside of normal business hours. This position is Non-Exempt from the provisions of the Fair Labor Standard Act and is eligible for overtime pay, with prior supervisor approval. This position reports to work either at King Street Center (201 S Jackson St, Seattle,) and/or Renton Maintenance Facility (155 Monroe Ave NE, Renton), depending on coverage needs.

      EMERGENCY DESIGNATION STATUS: This position has been designated (Mission-Critical) Those employees who provide, maintain, and re-establish essential county functions as described in agency Continuity of Operations plans.
      Unless otherwise directed by the County Executive, department director or agency head, all employees, regardless of designation, are expected to report to work or request leave during an emergency or inclement weather.       TELEWORKING REQUIREMENT
      :
      This is a hybrid position. The work associated with this position will be performed by teleworking, onsite work and meetings as needed. The responsibilities of this position will include regular and ongoing in-office work. Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements. Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours. King County has a robust collection of tools and resources to support working remotely.
