      Job summary

      This is an exciting opportunity for a motivated individual to join Workplace Health & Wellbeing as an Administration Team Leader.

      Workplace Health and Wellbeing has developed significantly over recent years providing occupational health and wellbeing services to local NHS, public sector and private organisations and has over 300 companies who contract with the service beyond the Norfolk & Norwich University Hospital.

      The post holder will provide leadership support for the administration team, as well as day to day responsibility for external contracts and NNUH.

      Full time: 37.5 hours per week

      Main duties of the job

      As the successful post holder, you will:

      • be responsible for the day-to-day supervision of the Administration Team including undertaking annual appraisals, identification of training needs and managing sickness in line with Trust guidelines.
      • provide comprehensive administration support to allocated Workplace Health & Wellbeing customers including producing statistical information, customer service queries and being the main point of contact for your customers.
      • play an active role in planning, development and implication of ad-hoc departmental projects, working closely with members of the clinical team and ensuring that deadlines are met.

      Supervisory Responsibilities:

      • Day to day line manager / supervision responsibilities of the Administrative Team, highlighting issues when they arise, redistributing work tasks and approving annual leave to ensure sufficient departmental cover.
      • Supporting the Operations Manager in the recruitment and retention of staff.
      • Ensuring administrative workloads are and contracts are fairly distributed and that external contracts receive an appropriate level of support.

      Professional Responsibilities:

      • Provide comprehensive administrative support to specific and allocated Workplace and Health and Wellbeing external contracts which includes providing advice and guidance to key stakeholders within the contract, producing statistical information, analysing, and producing this information into reports for the contract review meetings
      • The post holder will play an active role in the planning, development and implementation of ad-hoc departmental projects, and including marketing and new contract implementation planning for the administration team.
      • The post holder will ensure their time is managed to meet project deadlines and will provide regular update information to interested parties regarding project development and implementation.

      IT Responsibilities:

      • The post holder will deputise in the absence of the IT and Administrative Support Officer to provide frontline IT and e-OPAS system administrative support and advice when required. The post holder will also have a general understanding of how to configure the e-OPAS system.
      • Provide specialist e-OPAS/portal training and support to external customers when required.
      • Provide specialist IT training and support to the administrative team, enabling them to produce quality statistics to departmental standards and via a variety of departmental formats.
