      Job Description

      This position is designed to provide high-level administrative support to academic departments and to support the Dean and faculty in these departments. This position is responsible for managing complex administrative activities, including engaging with faculty workload and curriculum management systems, assisting faculty and dean with accounting and finance as well as contract development, creating forms for various types of faculty assignments, providing information and assistance to department(s) students, and serve as the supervisor for student workers. Beyond tasks and goals, this position plays a central role in creating a healthy, thriving division through professional communication, empathy, and inclusion.

      Salary Range:

      $21.90 - $29.65 hourly ($47,727 - $61,909 annually)

      Minimum Qualifications

      • Knowledge of the structure and purpose of policies and procedures sufficient to develop and use them in a public academic environment.

      • English sufficient to speak, read, understand, and respond to written and spoken communication with customers; and to write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction.

      • Skill in using business grammar, spelling, and punctuation to write, develop, and edit reports, letters, procedures, presentations, and other documents.

      • Ability to develop, modify, evaluate/improve, interpret, and explain administrative and department policies, practices and procedures.

      • Skill in customer service sufficient to respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints or disputes.

      • Skill in word processing sufficient to use software such as Microsoft Office to create, format, edit, print, and save a variety of documents, including letters, spreadsheets, and tables using special math symbols.

      • Skill in math (arithmetic) sufficient to add, subtract, multiply, and divide whole numbers, fractions, and decimals; calculate percentages, and use simple formulas.

      • Knowledge of accounting systems sufficient to query and compile records and reports, and assist with preparing and maintaining spending plans, financial status reports, and budget requests.

      • Ability to enter, compile, retrieve, research, and analyze information from databases and spreadsheet software such as Microsoft Excel

      Preferred Qualification

      • Three (3) years’ experience as an administrative assistant in an academic setting

      • Ability to establish and maintain effective working relationships with administration and faculty, with the ability to work effectively and efficiently without supervision and direction.

      • Ability to establish and maintain complex record systems based on substantial program knowledge.

      • Ability to multitask in a fast-paced, high-volume environment

      • Demonstrated high skill level in the principles and practices of project management.

      • Proficiency with advanced features of Microsoft Office Suite (Word, PowerPoint, Access, and Excel)

      • Proficiency with desktop publishing software

      • Meeting and event planning experience

      • Experience working in student affairs.
