      Job title: Assistant Trustee Secretary

      Location: Frimley. We offer a range of hybrid and flexible working arrangements – please speak to your recruiter about the options for this particular role.

      Salary: £40,000 + Dependant on Experience

      What you’ll be doing:

      • Responsibility for providing BAE Systems pension schemes with high quality governance and scheme management services
      • Interacting with the Scheme Secretary, the Head of Trustee Services, Scheme Managers, Trustee Executives, other Pensions and Reward colleagues and Company Secretariat to effectively and efficiently:
      • Plan, arrange and facilitate all Trustee Board and sub-committee meetings; any ad hoc or joint working groups or associated meetings. Prepare and distribute meeting packs, take and distribute minutes, provide subcommittee summaries for consideration at the Boards
      • Prepare written resolutions of the Trustee and arrange execution of Deeds; co-ordinating with legal advisers
      • Support the Secretary and Head of Trustee Services to ensure all BAE Systems pension schemes are compliant with all legislation and regulation (including requirements of Company law relating to Trustees)
      • Deliver services as required by the Secretary and Secretarial services as set out in the Trustee plc agreement
      • Maintain oversight of statutory books, records and accounts for Trustee Company including submissions required to Companies House, within deadlines stipulated
      • Deal with all formal correspondence on behalf of the Trustee
      • Ensure adherence to all Company Law requirements associated with terms of appointment and decision making
      • Contribute to the continuous improvement philosophy

      Your skills and experiences:

      Essential

      • Experience of managing Trustee Boards and Pension Schemes
      • Pensions Industry knowledge and experience (DB)
      • Proven minute taking to professional standard

      Desirable

      • Experience of attending Trustee Boards and sub-committees in role as Secretary to the Trustee

      The Head Office Pensions team:

      Acting as assistant Secretary to the Boards of Trustees of the Company’s UK pension schemes, this role is vital in delivering high-quality governance and scheme management services to our DB pension arrangements and associated forums.

      This will help to ensure the smooth running of meetings, minute taking and appropriate trustee support. Co-ordinating with the scheme managers within the team, this is a great opportunity to develop and learn more about in house pensions.
