Maintains strict confidentiality of all financial and personnel-related information.

Establishes and maintains a comprehensive, organized system for recording all financial transactions related to the school’s athletic and activity accounts.

Verifies, codes, and posts financial transactions; monitors budget expenditures to ensure accuracy and adherence to approved allocations.

Manages all aspects of procurement card and purchase order processes, including the acquisition of supplies and equipment, ensuring full compliance with district policies and purchasing regulations.

Assigns appropriate account codes for invoice payments and performs routine reconciliation of accounts to maintain financial accuracy.

Prepares detailed financial reports and summaries reflecting receipts, disbursements, and overall budget status for athletic operations.

Receives, records, and deposits funds from athletic programs in a timely and compliant manner.

Performs monthly reconciliation of financial records with bank statements and validates balances to ensure fiscal integrity.

Organizes and maintains audit-ready documentation, including files and receipt logs, to support internal and external audit processes.

Utilizes financial software and district technology systems efficiently to perform financial functions and generate required reports.

Remains informed of updates to district finance policies and procedures to ensure compliance and best practices.

Reviews staff time sheets for accuracy and prepares them for administrative approval and payroll processing.

Performs additional finance-related duties as assigned in support of school and athletic department operations.
Athletic Bookkeeper (220 Days)

Job Goal:
The Athletic Bookkeeper manages day-to-day financial operations for the athletic department, including budgeting, purchasing, and record-keeping. This role ensures accuracy, compliance, and responsible use of athletic funds while supporting coordination between school staff, district finance, and vendors. Attention to detail, discretion, and strong communication are essential.

Working Conditions:
Office environment with no exposure to environmental conditions. Physical demands are restricted to general office activities requiring movement. lifting items weighing up to 25 pounds. No travel required. Requires ability to work under a degree of stress related to duties that require constant attention and meeting tight deadlines.
Salary: Secretarial Salary Schedule (220 Days)
FLSA: Non-Exempt
