- Inputs all information relating to the addition, retirement or changes to the equipment database as submitted by the Biomedical personnel and Vendors
- Creates requisitions to support vendor supplied services
- Provide Capital Equipment Services with the cost of operation, cost of service ratio, life-cycle cost studies, hazard recall information and any other reports required in order for Biomedical Engineering to make an informed decision. Provides recommendations to the department Director on the desired course of action based on the analysis.
- Develop, monitor and generate CMMS data reports on Biomedical Engineering staff productivity and benchmarking. Responsible for working closely with the director/Managers/Clinical Engineering Supervisor/Manager to develop benchmarking solutions related to patient safety with using medical equipment.
- Daily generate reports from CMMS, and communicate the status of scheduled work-orders to Leadership team
- Works with the biomedical engineering department staff and customer departments to facilitate maximum use of the data in the database to improve patient safety, reduce cost of equipment management and ownership and improve customer service.
- Coordinates CMMS enhancements by identifying needs, analyzing costs and benefits, identifying process changes and impact, researching and analyzing alternatives of enhancements, and coordinating activities among end users.
- Engages with the CMMS vendor, and makes requested changes to the database as needed
- Performs regular quality assurance review of the CMMS application and its use. Recommends and/or implements changes as indicated. After completely researching database, accurately adds new models, manufacturers, vendors etc.
- Monitor application performance.
- Manages CMMS user rights and security.
- Work closely with Clinical Engineers to monitor and enforce standardization of capital equipment nomenclature and policies & procedures with regards to all information contained in the CMMS to include network ready, patient safety and cyber related information.
- Required to identify, maintain and manage data integrity in support of IS Business operations policies.
- Maintains equipment inventory management system, files, and record keeping of the Biomedical Engineering department.
- Responsible for training new Biomedical team members on the CMMS application
- Assist Biomedical Engineering leadership with financial planning of capital assets.
- Support/Manage production and non-production cloud instances of ServiceNow
- Request and manage clones, updates and upgrades
- Participate in deciding action to take on skips
- Perform post clone tasks
- Manage update set migrations between environments
- Manage security configurations
- Configure and manage MID servers
- Configure for third party application integration
- Support on premise installation of ServiceNow
- Apply patches and upgrades for on premise instances
- Support Development team as needed
- Design and build reports, gauges and homepages
- Import and Export data as needed into different instances
- Handle incoming calls from multiple users and triage and escalates issues
- Monitor the environment using ServiceNow ticketing system
- Troubleshoot and fix Unix and Linux hardware and software problems as they occur
- Work with other system administrators, engineers and vendors to resolve hardware and software issues.
- Associate's Degree Required
- Bachelor's Degree Business Administration, Computer Science, Biomedical Engineering Technology, Science, or similar field Preferred
- At least one (1) year experience working on a database that generates data reports. Required
- At least two (2) years working on a Computerized Maintenance Management System, with thorough understanding of CMMS and equipment management workflows and processes, including inventories and work orders for all level of user Preferred
- Network, System, or Application Management tools Preferred
- At least two (2) years following technologies: JavaScript and XML, Data source configuration, transform maps, scheduled jobs, and import sets, LDAP integrations, including SSO (AD, Azure AD, OKTA, etc.), ServiceNow Reports, dashboards and homepages Preferred
- Agile/Scrum methodology, with participation in the software development life cycle Preferred
- UNIX, Linux, Windows, and Network administration and configuration Preferred
- Web Services integrations including REST, SOAP, and JSON Preferred
- administration and configuration of the ServiceNow platform, including the creation and/or customization of core ITSM applications such as Incident, Problem, Change, Service Requests, etc. Additional product experience outside of ITSM preferred. Preferred
- administering a ServiceNow instance including group and user maintenance, ACL, Catalog Items, Order Guides, UI Policies, UI Actions, Business Rules, Script Includes, Client Scripts, etc. Preferred

- Proficiency in the Microsoft Office Suite (Word, PowerPoint, Excel, Access) or similar products.
- Expertise in preparing, importing, and manipulating information in spreadsheets and databases.
- Demonstrated strength in presenting to groups and senior leadership.
- Ability to handle multiple tasks, set appropriate priorities and accomplish assignments in a thorough and timely manner.
- Responsible for the retirement of equipment from the database using established procedures
- Runs all appropriate reports to determine if changes are needed to the database
- Runs scheduled monthly patient equipment reports for each team
- Update Nursing contact information annually in CMMS
- Closes all project related scheduled and non-scheduled work orders provided by the Biomedical Technicians within three days of receipt.
- Creates and closes scheduled work orders provided by vendors. Makes decisions on coding, based on experience and consultation with staff.
- Educates existing staff when errors or problems are discovered.
- Cross train new staff on the Computerized Medical Management System (CMMS)
- Places part orders for the Vendors and supply orders for Biomedical Engineering
- Advanced MS Excel skills.
- Construct MS Excel Graphs.
- Provide data analysis.
- Modify data in CMMS per Clinical engineer's request.
- Transfer data inventory from @CHOP site to database

A Brief Overview
The Biomedical Engineering Asset Manager is responsible to accurately enter all information including notes into the Biomedical Engineering's Computerized Maintenance Management System (CMMS). He/she will provide eyes on glass IT infrastructure services and support to internal and external customers. This position will provide solutions to a variety of technical problems of moderate scope and complexity. Responsible to manage calls and assist in troubleshooting networks, systems, and applications. Will assist with the development of new procedures and processes in accordance with confidentiality, security, regulatory compliance and policy requirements. Works with multiple clients, providing operational support of the platform as well as developmental support and help design, configure, develop and implement baseline and custom applications as well as enhancements in ServiceNow. Provides input and ensures the stability of the overall platform's maintenance by following appropriate design and development standards. Conducts more complex work that is important to the organization and works under minimal supervision.
Checks for missing or incomplete information of data entered into the Computerized Maintenance Management System (CMMS), and provides feedback to the Biomedical Technicians, Managers, Supervisors, Clinical Engineers, or Director of the accuracy. Reconciles discrepancies between Biomedical Engineering expected service outcomes and vendors actual performances & other duties as needed.
Must be able to utilize the CMMS to perform data analytics, cost ratio, equipment depreciation, cost of ownership, return on Investment, etc. Experienced with the ServiceNow application being able to fundamentally administer and configure tasks in the ServiceNow instances including work on Nuvolo, but not limited to standard configuration, user administration, security workflow, data management and integrations
