Job Description

- Process all cellar work orders on a daily basis for all facilities
- Manage inventory records for all bulk wine, barrels, and food-grade ingredient inventories
- Manage, document, and reconcile bulk wine book inventory with physical inventory
- Enter and approve bulk wine shipping and receiving into scale house software when needed
- Verify, enter, and track all purchased bulk wine
- Document, reconcile and enter all bottling/ case good inventory
- Verify, maintain and ensure wine meets all state and federal specifications and regulations
- Backup for scale house support for receiving and shipping of bulk wine
- Backup for cellar compliance support
- Provide support in month end closing process
- Assist with crush data information
- Daily, weekly, monthly reconciling of various reports
- Answer internal and external customer questions related to compliance issues
- Assist in government reporting
- Research any state and federal requirements
- Maintain and support CCOF certification
- Assist and prepare internal audits for all facilities
- Follow guidelines and procedures in order to ensure ISO certification
- Periodic auditing of Wine Makers Database documentation and record keeping
- Assist with any general administrative tasks, projects and/ or additional duties assigned by a supervisor/ manager
- Create new and update existing SOP’s, forms, reference materials, etc
- Facilitate New Employee Training
- Filing and archiving
- Maintain general housekeeping and all filing in a timely manner
- 2-3 years of experience in general office procedures
- Regulatory experience in the wine industry
- Attention to detail, excellent organization, and professionalism
- Problem solving and critical thinking
- Strong analytical skills
- Excellent verbal and written communication skills
- Works well under pressure/ excellent time management skills
- Team player/ willing to help on various projects
- Intermediate knowledge of Microsoft Office including Excel, Word, and Outlook
- Working independently and multi-tasking
- Create on-demand reports for senior management
- Represent the company in a professional manner
- Work under pressure and meet deadlines
- Manage multiple priorities/ projects
- Manage one’s own time, prioritize responsibilities, keen sense of urgency when necessary
- Proactively communicate regarding prioritization of workload, ask questions when assignments aren’t clear or missing information and/ or when unable to meet requested deadline(s)
- Take on multiple projects simultaneously and see them through completion
- Proactive, takes initiative, uses available resources to problem solve
- Work independently and multi-task while maintaining accurate and thorough records
- Work overtime, weekends, and/ or to cover additional shifts as needed
- Work 6-7 days a week during the Crush Season (July-October)
- Work any shift and/ or make a change in hours at the Supervisor/ Manager’s request with a 72-hour notice
- Be a team player/ willing to help on various projects
