      Responsibilities:

      • Lead and manage the development of proposals, pre-qualifications and other RFQ related documentation.

      • Act as the main point of contact for proposals and lead proposal development activities from beginning to end.

      • Establish and maintain strong business relationships with clients and subconsultants through the development of the proposals / pre-qualifications.

      • Evaluate and understand client requirements for incoming Request for Proposals and communicate the client’s expectations / requirements to the rest of the proposal team.

      • Assemble a proposal team with appropriate leaders, engineers, and other support personnel to successfully develop a winning proposal.

      • Develop a proposal responsibility matrix / schedule to ensure client requirements are fully satisfied and that the proposal team is on track with the submission.

      • Review all materials and ensure the team has provided met the client’s expectations and requirements.

      • Coordinate proposal information with any subconsultants.

      • Coordinate document layout including graphics for submissions.

      • Schedule lessons learned sessions if required to attain higher success rates on future submissions and ensure the proposal closeout process is complete.

      • Manage and search for new sales opportunities.

      • Manage and track sales opportunities in CRM and other internal sales documents.

      • Improve CRM processes within the company.

      • Support the development of standard material for use in future proposals, with the intent of improving efficiency and effectiveness of our proposals over the long term.

      • Recommend business development / proposal related improvements or additions to ensure continual growth and improvement.

      • Manage the production of marketing materials (presentations, brochures, resumes, project information sheets etc.)

      Data Management:

      • Maintain an update database of our various projects and staff resumes.

      • Assist team with data entry and reporting using company databases including:

        • Client/proposal management (CRM)

        • New Projects (PIA)

      Document Management:

      • Work with practice leads to sort and format existing documents.

      • Assist practice leads in the development of new documents.

      Marketing Support:

      • Coordinate obtaining project photos for project experience database.

      • Writing and updating resumes, project descriptions and other marketing material.

      • Prepare Project References for completed project assignment for the company’s project repository for future reference.

      Qualifications:

      • Diploma or Degree or equivalent years of experience.

      • Minimum 4 years of experience in a proposal, business development or administrative support role.

      • Experience within the Engineering/Construction industry is an asset.

      • Graphic design and/or production experience a plus.

      • Excellent verbal and written communication skills in English. French is an asset.

      • Detail oriented, excellent researching and organizational skills

      • Prior experience preparing proposals for MTO and/or City of Ottawa is an asset.

      • Ability to work independently, take initiative and multi-task to meet deadlines in a fast-paced environment.

      • Experience working with teams in multiple offices.

      • Excellent working knowledge of Microsoft Office products with emphasis on Word, Excel, PowerPoint and Outlook.

      • Experience with SharePoint and Adobe In Design is a plus.

      • Confidence in interacting with all levels of management and clients.
