      Organization Description:
      Urban Alchemy is a nonprofit organization with the mission of transforming people and places through respect,
      compassion, and love to heal communities challenged by the intersection of extreme poverty, mental illness,
      addiction, and homelessness. The name Urban Alchemy references the process of spiritual and social
      transformation that our staff engage in – both internally and in practice with all members of the public. Since our
      founding in 2018, Urban Alchemy has grown into a thriving social enterprise with over 1,100 employees. We
      provide community outreach and engagement, temporary housing for people experiencing homelessness, mobile
      bathrooms and showers, and street cleaning services. Urban Alchemy currently operates in the San Francisco Bay

      Position Summary:
      The Business Operations Specialist ensures smooth processes and systems are implemented and enabled to
      administratively support the operations of Urban Alchemy’s various metropolitan locations. They must have
      excellent organizational skills and a personable disposition to keep all worksites thriving. They will have flexibility
      in handling day-to-day routines as well as surprises. The Business Operations Specialist will provide strong, reliable
      support for Operations and General and Administrative departments by creating procedures and communicating
      them and be part of or support the safety committee. They will also help achieve organizational efficiency by
      coordinating essential business functions between departments and develop initiatives to improve efficiencies
      throughout the worksites. In partnership with Human Resources, they are essential to nurturing a positive,
      inclusive work environment.


      Position Duties and Responsibilities:


      Position Specific:

      • Ensure all systems operate smoothly and align with established protocols and quality standards
      • Maximize the efficiency of all business procedures
      • Monitor daily operations and address potential issues when they arise
      • Build processes that meet operational objectives and ensure compliance
      • Monitor budgets and recommend solutions that will improve procurement
      • Coordinate with the Contracts, Operations, and Human Resources departments to ensure hiring plans meet business needs and meets contractual obligations
      • Take into account the needs of external and internal stakeholders and incorporate them into business plans
      • Oversee visitors to the office and ensure a friendly, personal experience
      • Ensure peak operations for the organization and implement preventive measures for potential issues
      • Implement office policies and procedures, measure outcomes against standards, and improve operational flow
      • Coordinate internal and external resources, and cultivate relationships with vendors
      • Respond to requests and questions about office operations
      • Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment
      • Oversee day-to-day office activities as main point of contact and keep management informed regularly via performance reports
      • Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate food deliveries when requested
      • Manage all aspects of space/infrastructure planning (ex: moves, additions, changes to workstations) and provide answers, resources, and solutions when requested

      General:

      • Will treat all Urban Alchemy guests, staff and stakeholders with compassion and respect
      • Use emotional intelligence to effectively engage and connect with others
      • Adhere to established procedures to provide a safe working environment including complying with OSHA, state, and local regulations as well as Urban Alchemy’s policies
      • Attend orientation and any additional training required by Urban Alchemy or our funders
      • Follow all Urban Alchemy’s policies and procedures
      • Perform other duties as assigned by direct supervisor

      Qualifications


      Position Requirements:


      Position Specific:

      • 3+ years performing successfully in the same or similar roles
      • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
      • Proficiency with office applications, and aptitude for learning new software and systems
      • Ability to maintain confidentiality of company information
      • Ability to handle budgets and track inventory
      • Ability to work accurately and quickly under operational deadlines
      • Ability to deal with vendors and staff in an efficient and professional manner
      • Ability to express ideas clearly and concisely, in writing and verbally
      • Experience in developing internal systems
      • Bachelor’s degree or equivalent preferred

      • Lived experience with incarceration and/or homelessness is valued

      Physical Requirements:

      • Expected to work in all weather conditions
      • Walking: 1+ hours
      • Standing: 1+ hours
      • Sitting: 7+ hours
      • Bending at Waist: Less than 1 hour per day
