- RSA 3 Word Processing or equivalent level of experience in education or employment.
- GCSE English or equivalent.
- NVQ3 in administration or equivalent level administrative knowledge and experience.
- Evidence of continuing professional and personal development.
- ECDL (European Computer Driving Licence).
- This role requires the ability to fulfil all spoken aspects of the role with confidence and fluency in English.
- Good numeracy and literacy skills.
- Good interpersonal and communication skills both written and verbal including the ability to deal professionally and tactfully with people at all levels.
- Intermediate IT skills in Microsoft Office Packages, ie Word, Excel, PowerPoint and Outlook.

Job summary
We are looking for a dynamic, experienced Business Support Administrator to join the administration team in the Torbay Older Peoples Community Mental Health Team. The OPMH Team provide assessment, diagnosis and support to older people experiencing memory changes and other mental health diagnoses such as depression and anxiety. The multi-disciplinary team consists of medical staff - Consultants and Nurse Prescribers, Mental health practitioners and Community support workers managed by a Clinical Team Leader. The administration team provide business administration support to all clinical staff and are managed and supported by an administration manager. This is a busy and interesting role with a wide variety of daily tasks in a supportive team who promote a positive working environment that supports our Trust values.
Main duties of the job
This role will cover a wide variety of administration tasks. A large part of the work is distributed via a shared email inbox. This will include formatting of assessment and review letters, making appointments with patients and sending appointments letter. Managing clinic appointments, answering the telephone and taking messages and answering non-clinical queries. An intermediate knowledge of all Microsoft packages is essential as these are used extensively alongside recording all administrative activity in our Patient record Systmone each day. Taking minutes at team meetings and other professional meetings regularly and producing notes. Managing team whereabouts and lone working register daily. Attention to detail is required, the ability to multi-task and a willingness to help each other is essential during periods of leave. The administration team consists of 2 medical support secretaries and 2 business support administrators. The team has a line manager who will support and lead the team in achieving tasks and objectives are completed for the clinical team. There is opportunity to get involved in projects and to undertake further training and learn new skills. There is an administration career pathway for those who would like to progress in their career with our Trust.
