SUMMARY
Under the direction of the VP of Real Estate and Construction, coordinate all aspects of administrative reporting within the departments. Facilitate the sourcing and ordering of necessary equipment or items required to complete assigned projects. Create, as needed, Purchase Orders for submission to Finance. Maintain inventory of these items and delivery schedule. Contact municipality agencies to identify and prepare the required information/documentation necessary to open Goodwill facilities within their authority.
ESSENTIAL FUNCTIONS / DUTIES
1. Monitor and maintain GICF’s work order system, Facility Dude, including the creation of work orders.
2. Maintain GICF’s access control network, Paxton. Working with HR on the creation of badges and access rights.
3. Ability to communicate with third party vendors, property owners, local and state officials and build relationships with internal dept. team members.
4. Work closely with dept team members including custodial staff, facility techs and Project Managers.
5. Ability to create and manipulate Excel spreadsheets.
6. Research and sourcing of materials and equipment for department’s needs.
7. Maintain Facility and Construction Dept. records, inventory, ordering supplies, receipts and purchase logs
8. Assist with the daily operations of the Real Estate, Facilities and Construction office and provide clerical services for the VP of Construction and Facilities.
9. Manage all calls coming into the department and handle questions and requests that fall within level of responsibility.
10. All other duties as assigned.
ADDITIONAL FUNCTIONS / DUTIES
1. Assist in the maintenance of CARF compliance records.
2. Prepare reports as requested by management.
3. Perform other duties as assigned by the VP of Real Estate and Construction
Qualifications
QUALIFICATIONS / COMPETENCIES

6. Ability to work well with others in a fast paced and under stressful conditions.
7. An understanding of construction related information and requirements.
Education and/or Experience:
High School education is required. Property Management or construction administrative experience is preferred.
Math Ability:
Level 2: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Computer Skills:
Proficient knowledge of Outlook, Word, Power Point and Excel. Ability to learn new programs such as Facility Dude and Paxton access control systems.
Supervisory Responsibilities:
This position has no supervisory responsibilities.

Physical and Environmental Requirements:
1. Regularly lift and /or move up to 25 pounds and occasionally lift and/or move up to 40 pounds.
2. Vision abilities required by this job include: close, distance, color, peripheral vision, depth perception, and the ability to adjust focus.
3. Sitting for long periods of time.
4. The noise level in the work environment is usually loud (examples: metal can manufacturing department, large moving equipment).
Language Ability:
Level 4: Ability to read, analyze, and interpret business documents. Ability to write reports, business correspondence, and procedure manuals. Ability to present information and respond to questions from groups of managers, clients, customers, and public.
Reasoning Ability:
Level 2: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral
instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
License and Certifications:
Valid Florida Driver’s License with a clean driving record and current private auto insurance policy.
