- Quoting:
- Retrieve RFQs (via email, phone, customer portals)
- Confirm capabilities with sales, production, and manufacturing
- Review of customer specifications and all other requirements
- Request any additional information from the customer that may be needed for quoting purposes
- Work with Planning and Production teams on lead times for quotes
- Calculate GM/sales pricing
- Enter formal quote in the Avante software system
- Prepare and submit customer quotes accurately and efficiently
- Submit quote to customer (via email, phone customer portal)
- Quote follow-up
- Work with data technician to ensure the latest pricing is loaded into Avante on existing product
- Customer Communications:
- Manage all incoming customer inquiries, feedback, and complaints; resolve delivery or shipping issues; perform after-action follow-ups.
- Interdepartmental Coordination:
- Participate in regular meetings with production planning teams.
- Communicate with shipping, receiving, and inventory control departments.
- Liaise with engineering, other distribution centers, and the production facility to ensure alignment.
- Daily Reporting: Generate and distribute daily reports including open quotes, open orders, invoices, and inventory updates.
- Order & Pricing Management:
- Verify customer pricing, margin accuracy, and initiate new customer setup.
- Process and track transfer orders as needed.
- Software & Tools Used:
- Avante ERP System
- Microsoft Office Suite (Excel, Outlook, Word)
- Document Imaging and Order Processing Software
- Month-End Duties: Complete end-of-month invoicing and collaborate with the inventory team to ensure accuracy and closure of outstanding issues.
- High school diploma or equivalent (Associate's or Bachelor's degree preferred).
- Minimum of 2 years’ experience in a customer service or distribution role, preferably in the oil & gas or industrial sector.
- Familiarity with seal products and/or well service equipment is a strong plus.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office Suite and ERP systems (e.g., SAP, Oracle, NetSuite).
- Excellent problem-solving and organizational abilities.
- Bilingual (English/Spanish) is a plus.
- Based at the Odessa, TX Distribution Center.
- Fast-paced, industrial environment with interaction across departments.
- Occasional lifting of product samples or documentation.

We are seeking a detail-oriented and customer-focused Customer Service Representative (CSR) to support our Distribution Center in Odessa, TX, which specializes in sealing solutions for well service products. The CSR will build and maintain customer relationships through continued exceptional customer service. This includes being the primary point of contact with customers, handling quotes and customer inquiries, providing quality interactions with customers while ensuring timely and accurate product delivery.
