      Job Description:

      Duties/Responsibilities

      • Help with the daily operation of a wide variety of activities within the Prosthetics/Orthotics Department

      • Act as a triage coordinator for Prosthetics/Orthotics, with multiple responsibilities including: patient (children ages 0-18) and visitor reception, answering phones, scheduling patients, setting and coordinating appointments, and data entry

      • Greet and interact with patients, parents, and hospital visitors

      • Greet Prosthetic/Orthotic patients; provide them with appropriate information and direct them to their care provider or next appointment, courteously and expediently, in accordance with departmental policies

      • Work with confidential information in a professional and responsible manner

      • Answer phones, route calls or messages, and assist callers for Prosthetics/Orthotics Department

      • Call patients regarding appointments, cancellations, no-shows, or for special activities

      • Set appointments for Prosthetics/Orthotics and Mobility, in accordance with departmental policies: limited over bookings; set appointments in designated time windows unless specifically approved by the involved staff member; expeditiously notify appointments to staff and patient/families; inform patient of wait intervals longer than 30 minutes; within twenty-four (24) hours for appointments made by phone; if patient cannot be reached within 48 hours or after two telephone calls, mail appointment slip

      • Coordinate schedule and appointments during Prosthetics Clinics (and others), courteously, and so as to maximize practitioner time and exam room availability

      • Ensure all persons involved in an appointment or drop-in are informed of the appointment time, duration and possible conflicts, consistently and accurately

      • Notify staff of appointments accurately and expeditiously

      • Record statistics and generate reports as assigned

      • Enter data and compile reports correctly and systematically for efficient retrieval for the following: Orthotic Patient Load (Report, Statistics, Average Turn-Around), Orthotic Technical (Point In-Progress and Points To Be Assigned), and additional Prosthetics records as assigned

      • Accurately process and distribute mail, requisitions, documentation, and appointment slips for Prosthetics/Orthotics and Mobility, at least once per day

      • Assist with forecast of annual office supply needs, maintain front office supply inventory and adhere to annual budget

      Required Skills/Abilities

      • Bilingual preferred

      • High school diploma or equivalent required

      • Minimum 2 years of experience preferred in a medical office, patient facing

      • Knowledge of medical office procedures including Epic preferred

      • Familiarity with Orthotics and Prosthetics, Orthopedics, or Pediatrics a plus but not required

      • Proficient typing and strong Word/Excel skills needed
