      Summary of Job Duties:

      The Department Business Administrator resides in the Center for Childhood Obesity Prevention (CCOP) which is located on the Arkansas Children’s campus at the Arkansas Children’s Research Institute (ACRI). This position will be primarily responsible for actively managing multiple research budgets, including grant budgets, contracts, and business agreements for the CCOP. In addition, this position is responsible for budget closeout procedures, preparing and reviewing invoices for reimbursement, creating relevant reports, and managing time and effort reports, allocations, and payroll accounting adjustments. This position manages approximately $11.5 million of research grant funding and other funding sources. This position will provide personnel training and support to funded junior faculty members in purchasing and expensed-based budget management of their respective grant awards.


      Qualifications:

      • Master's degree plus two (2) years of financial management experience or

      • Bachelor’s degree plus four (4) years of financial management experience required.

      Knowledge, Skills & Abilities:

      • At least 2 years of research experience and 1 year of supervisory experience.

      • Excellent written and communication skills.

      • Self-directed and able to work without close supervision.

      • Ability to multitask, prioritize and manage time efficiently.

      • Intermediate proficiency with Microsoft Office Suite (Excel, Word, Outlook and PowerPoint) and Workday. Knowledge of grants management.

      • Knowledge of allowable costs on intramural, state, and federal grant awards.

      • Knowledge of invoice preparation for awards paid by cost reimbursement.

      • Must be detail-oriented.

      • Must be customer service oriented.

      • Must be able to solve difficult procedure problems with minimal oversight.


      Additional Information:

      Responsibilities:

      • Manage multiple budgets, time and effort reports, monthly allocations, payroll accounting adjustments, contracts, and business agreements.

      • Prepare salary projections.

      • Responsible for budget close out procedures.

      • Prepare and review invoices for reimbursements, create reports, complete purchasing and invoicing.

      • Prepare monthly updates and meet with faculty and staff regularly to review budgets and allocations. Ensures compliance with grant requirements.

      • Prepare budget, assist with budget justification and other documents for grant applications and assist with grant routing.

      • Prepare materials for all internal and external meetings and conferences as requested.

      • Guides research and program teams in proper procedures and processes related to grant and contracts management.

      • Manages office maintenance, inventory (including computer hardware), supplies and office space needs, and general office operations.

      • Co-coordinates with other CCOP administrative team members all CCOP training workshops and other CCOP-hosted research activities, including Administrative Core staff meetings, External Advisory Committee meetings, and the CCOP Annual Scientific Retreat.

      • Some activities may take place off campus and on weekends or evenings.

      • Provides administrative support including but not limited to scheduling meetings, assisting with agenda creation, and taking meeting minutes.

      • Organizes and maintains electronic files and records.

      • Utilizes computer software tools to manage documents and information as required by assigned activities.

      • Completes other duties as delegated by the CCOP Director of Research Administration.

      • Coordinates with the CCOP Director of Research Administration regarding the oversight and management job duties of ~4 CCOP administrative staff. This includes the orientation and training of new staff members on purchasing systems, material requests, and event management.

      • May perform other duties as assigned.
