      Job summary

      We are seeking an enthusiastic and forward-thinking administrator to join our GP Practice Care Network in East Lindsey, Lincolnshire. We are looking for an administrator to support the management team. You will be supporting highly teams in a busy and supportive environment. This is an evolving role with huge scope for development.

      This role is full-time for 18.75 hours per week.

      The successful applicant will be a administrator who acts within professional boundaries, supporting and working alongside the managers. You must be able to work as a team and on your own. You will be required to work remotely and in the PCN practices. Own transport is essential, however we endeavour to keep your travel to a minimum.

      Main duties of the job

      To oversee and organise all of the PCN administration support. The role reports directly to the Clinical Directors, PCN Manager and Clinical Services Lead. With a wide-ranging remit, the administrative role will support and facilitate delivery of resilient high quality primary care to our local population ensuring that service planning and delivery meets local and national objectives, contractual requirements and targets.

      The role will provide comprehensive administrative support underpinned by strong IT, organisational and communication skills, which promote effective team working and positive working relationships. The position will provide fluidity to manage day to day administrative functions and activities. The post holder will be given opportunities and scope to manage PCN projects and step up as and when required to represent the PCN and be as fully involved, should the post holder wish to develop their skills to management potential.

      East Lindsey Primary Care Network is made up of 8 member practices, this a population of 64,000 patients. Our geography is spread from as far north as North Thoresby and south to Coningsby and to the west into West Lindsey.

      To oversee and organise all of the PCN administration support. The role reports directly to the Clinical Directors, PCN Manager and Clinical Services Lead. With a wide-ranging remit, the administrative role will support and facilitate delivery of resilient high quality primary care to our local population ensuring that service planning and delivery meets local and national objectives, contractual requirements and targets.

      1. PRIMARY DUTIES AND AREAS OF RESPONSIBILITIES

      1. Main Duties

      The PCN Administrator is required to

      • Organise meeting venues, schedules and circulate agendas in a timely manner.

      • Minute-taking and following up from MDT meetings and general administrative support with preparing correspondence.

      • Typing, preparing and collating reports.

      • Collating data from across the PCN practices.

      • Support the PCN and Practices to take part in the Research Scheme Initiative

      • Use clinical systems to run reports and participate in required actions as agreed by PCN and Practice Management teams.

      • Accurately use a range communication tools to contact patients via a range of methods e.g. SMS, letter, email.

      • Utilise national and local data bases to assist the Clinical Services Lead in identifying health inequalities and preparing reports for potential projects across the PCN.

      • Keep records for audit purposes and participate in audits.

      • Provide a point of contact for the PCN Practice Leads and Practice Managers.

      • Promote joint working and administrative efficiency.

      • To organise workload and co-ordinate your activities with other stakeholders.

      • Setting up conference calls, arrange meetings and produce agendas and minutes.

      • Collating opinions of local stakeholders.

      • Planning learning events and co-ordinate PCN staff training.

      • To organise workload and co-ordinate your activities with other medical professionals to ensure that an efficient service is provided.

      • To provide administrative support to the PCN clinical team as necessary.

      1. Other Duties

      • To be aware and work within the confines of data protection, confidentiality and Caldicott guidelines at all times when relaying data verbally or written in terms of patients notes and correspondence.

      • Resolve queries coming into the department from external sources, this may include dealing with GPs, and other external sources under supervision of the PCN manager and Clinical Services Lead.

      • Maintain quality in own work.

      • Works within relevant policies and comments regarding improving services.

      • Ordering stock and materials for meetings and events.

      • Co-operate fully in the introduction of new technology and new methods of working.

      • To report all incidents involving accidents and complaints ensuring that the necessary appropriate documentation is completed under supervision of - line manager.
