- Proactively manage and optimize schedules to ensure efficient use of time.
- Actively participate in the organization, preparation, and attendance of in-person and/or virtual meetings (i.e., logistic, room setup, required materials provided pre and post meeting, refreshment needs, superb notetaking that can be synthesized into executive summaries in word or PowerPoint formats)
- Forward looking for future planning and preparation of upcoming meetings and deliverables.
- Arrange travel plans in a timely and cost-effective manner, adhering to company policies.
- Manage expense reports and ensure accurate and timely submission.
- Event Planning and Office Management:
- Assist in planning and coordinating small events, maintaining a high level of professionalism.
- Manage office supplies, equipment, and facilities, ensuring a conducive work environment.
- Facilitate smooth onboarding for new team members, ensuring provision of necessary resources.
- Provide training on systems, processes, and applications to support their integration.
- Foster a collaborative and inclusive team environment.
- Respond promptly and professionally to communication requests, maintaining confidentiality and discretion.
- Filter and prioritize incoming calls, mail, and emails, and prepare appropriate responses.
- Create professional reports and executive summaries using Word, Excel, or PowerPoint.
- Lead and facilitate select initiatives, coordinating tasks and teams across different departments.
- Provide regular updates and status reports to stakeholders, ensuring project success.
- 5+ years of experience providing executive support in a corporate setting, primarily remote in nature.
- Excellent organizational skills with a strong attention to detail.
- Ability to maintain confidentiality, exercise discretion, and handle sensitive information.
- Strong written and verbal communication skills, with exceptional professionalism.
- Proficiency in Microsoft Office suite, including Outlook, Teams, CoPilot, Word, Excel, PowerPoint, OneDrive, and SharePoint.
- Exceptional time management and multitasking abilities, with the capacity to prioritize tasks effectively.
- Excellent problem-solving skills and ability to think critically and proactively.
- Ability to work independently and as part of a collaborative team.
- Strong interpersonal skills and the ability to build relationships with stakeholders.
- A growth mindset, with commitment to continuous learning and self-improvement.
- Demonstrated proficiency using ChatGPT and other AI-based platforms
- Familiarity with CRM systems (e.g., Salesforce), data visualization tools (e.g., Tableau), and outreach platforms (e.g., Outreach.io) is a plus.

Job Summary

As an Executive Assistant, you will be responsible for providing comprehensive administrative support to our executives. Your role will involve managing calendars, coordinating meetings and travel arrangements, preparing reports and presentations and handling confidential information with the utmost discretion.
