Provide top-level senior executive support to multiple leaders while maintaining high levels of discretion, professionalism, resourcefulness and judgment
Represent company and supported executives both internally and externally
Act as liaison with direct reports, other internal teams/organizations, and external partners and coordinate work efforts across functions
Own and handle complex executive calendars and scheduling requirements
Secure and manage travel arrangements, often including complex logistics
Plan, own and run both internal and external executive events and meetings (e.g., staff meeting agendas, all-hands meetings, off-sites, etc. including detailed logistics, meeting material preparation and note taking)
Own and manage expense reporting and reconciliation, records management, meeting minutes, materials preparation, and other duties as required
Anticipate follow-ups and proactively manage upcoming needs
Be a culture-contributor: coordinate department initiatives, supervise, highlight, and celebrate essential team cultural/career moments
Help manage various team systems like team calendars, team Slack channels and team distribution lists
Assist with vendor POs and cross-team expenses like monthly subscriptions, conferences, trainings, morale activities, etc.
Available at minimum between the hours of 8am - 3pm PDT
Flexibility to work around leaders’ schedules highly desired
May require 25% travel annually

About the team
We are looking for an Executive Assistant to support our Vice President of Communications, Senior Director of Corporate and Brand Communications and their teams. This role requires high levels of discretion, integrity, good judgment, and professionalism in dealing with senior executives inside and outside of the company. The successful candidate must understand business priorities, demonstrate the ability to proactively anticipate needs, drive improvements, own and complete sophisticated tasks and projects quickly, react with appropriate vitality to situations that require a quick turnaround, and proactively solve difficult or complex problems. As a key representative of the Zillow Communications team, this candidate will have a strong understanding of the role Communications plays in the company ecosystem.
