POSITION
Sterling Organization is seeking an Executive Assistant with excellent organizational skills and a proven ability to serve others. This role will perform a variety of administrative duties for the C-Suite executives in a fast-paced environment and will assist with front desk and office managerial duties.
Working directly with two C-Suite executives, this person will routinely work with highly confidential information. The ideal candidate has a natural flexibility to adopt and solve a variety of challenges that might come their way.
RESPONSIBLITIES
• Serve as liaison to internal and external constituencies, keep executive informed of issues, commitments, and responsibilities, including those of sensitive or confidential nature
• Manage complex calendar and resolve conflicts
• Performs administrative duties for executive management team (i.e., call screening, travel management, expense management/processing, meeting coordination)
• Reconcile out of pocket expenses and submit for reimbursement
• Manage personal affairs (i.e., appointment scheduling, bill management, reservations, and reconciliation)
• Assist with mail and reception services to ensure a personal, friendly experience
• Provide back-up support for incoming phone calls and receptionist responsibilities as needed
• Develop and implement policies and procedures to improve operational flow when identified
• Assist with office efficiency by maintaining appearance of common areas, handling correspondence, and managing filing systems
• Assist with company-wide and office entertainment functions
• Assist with all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations)
EDUCATION/EXPERIENCE
• Bachelor’s degree or equivalent (preferred, not required)
• Previous experience in hospitality and/or retail service industry is a plus
• Meticulous attention to detail and accuracy
• Ability to think creatively, solve basic problems, and implement ideas that contribute to the office culture
• Engaging personality and optimistic outlook
• Ability to anticipate needs and exercise good judgment
• Respect for confidentiality and discretion to properly handle confidential information
• Ability to prioritize and complete multiple projects and tasks
