      We are currently seeking an Executive Assistant to support the Vice President, Controller and Vice President, Finance. This full-time, permanent position requires a candidate that is highly organized, self-driven, proactive, detail oriented, has exceptional interpersonal skills, and can balance multiple priorities and work well in a collaborative environment.

      RESPONSIBILITIES:

      • Provide direct executive support for the Vice President, Controller and Vice President, Finance which includes administrative support, coordinating travel, arranging internal and external meetings and various corporate activities, and liaising with other departments
      • Complete expense reporting and maintain calendars, including scheduling and travel for the Vice Presidents and their reporting managers as required
      • Coordinate all meeting requirements including scheduling, collection and preparation of background material, administration of reports, coordinating minutes and oversight of tracking action items
      • Help compile Board and Committee materials, on a quarterly basis
      • Assist with corporate internal controls compliance program – maintain documentation, administer sign-off processes, liaise with external auditors and internal control advisors to arrange multiple meetings across various internal and external parties
      • Coordinate department events, events with external stakeholders, training programs and large internal meetings
      • Develop strong working relationships with leadership team, executive assistant team, other departments and external service providers
      • Review documents, reports, and correspondence prepared for signature for format, content, and grammar, and make edits as necessary
      • Prepare draft reports, background documentation and research in a confidential manner
      • Prepare and assist the accounting and finance teams with the preparation of Power Point presentations
      • Present a positive and professional image both internally and with external contacts
      • Be a strong champion and ambassador of ARC’s culture and develop strong relationships throughout the organization

      QUALIFICATIONS:

      The individual we seek is a proactive self-starter who has exceptional organizational skills and the ability to work independently. The successful candidate will possess the following key attributes:

      • A minimum of 8 years of executive and administrative experience supporting senior leaders
      • Post-secondary education or technical diploma; a strong understanding of oil and gas industry would be considered an asset
      • Exceptional interpersonal, written, and verbal communication skills and ability to build strong relationships with employees at all levels of the organization
      • Professional, responsive, and a positive work attitude is essential
      • Highly organized, resourceful and a self-starter. Able to apply creativity in problem solving
      • Superior time management, and ability to effectively multitask and prioritize daily and weekly requirements with minimal supervision
      • High level of sound and independent judgment, reasoning, and discretion
      • Previous experience in handling confidential or sensitive information
      • Able to maintain filing systems and basic databases with meticulous records maintenance
      • Strong computer skills including SharePoint, Microsoft Word, Excel and Power Point, and knowledge of systems such as Diligent Board, Certify, Workiva, Qbyte, Visio and Microsoft BI Cubes would be an asset
      • A strong work ethic, clear sense of achievement, desire to continuously learn, and commitment to teamwork is essential
      • Must thrive in an honest, respectful, and open work culture
