Job Description

- Schedule Management: Manage complex calendars for the COO, including scheduling meetings, appointments, and travel itineraries. Proactively identify scheduling conflicts and propose solutions
- Communications: Serve as the primary point of contact for the COO, efficiently handling phone calls, emails, and inquiries. Prioritize and manage their inboxes, drafting and responding to correspondence as needed
- Meeting & Travel Coordination: Organize and prepare for executive meetings, including agendas, materials, and logistics. Manage travel arrangements for the COO, including flights, accommodations, and ground transportation
- Project & Task Management: Provide administrative support for various projects and initiatives led by the COO. Anticipate needs, manage deadlines, and ensure smooth project execution
- Document Management: Maintain and organize confidential documents and filing systems for the COO
- Leadership Alignment: Work with the company’s other Executive Assistants to create an efficient, productive work environment across areas of the business
- Strong organizational, prioritization, and time management skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Slack, Zoom, Microsoft Teams, etc.)
- Minimum 5 years of experience as an Executive Assistant preferred, preferably within a fast-paced and demanding environment
- Experience supporting C-suite executives a plus
- Ability to sit at a desk and use a computer for extended periods
- Ability to participate in meetings, either in person or virtually
- Occasional travel required for meetings, conferences, or company events. This could involve the ability to sit on a plane or in a car for extended periods.
- Ability to navigate different environments, such as visiting different offices or attending conferences
- Clear verbal communication skills for presentations, meetings, and discussions with stakeholders
- Ability to read, analyze, and interpret business documents and data
- While unlikely, some positions may involve light lifting (e.g., transporting documents or materials) or moving items for presentations, but this is rarely a primary responsibility in this type of role
- Pay meticulous attention to detail, are organized and manage your time effectively
- Maintain confidentiality and discretion with highly sensitive information
- Are comfortable interacting directly with senior leaders inside and outside the organization
- Build trusting, credible relationships at all levels of an organization and with external stakeholders
- Are strong enough to say “no” when needed but empathetic enough to do it in a way that others respect

Role Overview: What You’ll Be Doing
The Executive Assistant is responsible for providing day-to-day logistical support for our Chief Operating Officer. Based in Atlanta in our state-of-the-art Member Operations Center, this role will manage schedules, communication, travel and high-level project coordination for two of Wheels Up’s key executive leaders.

What We Offer: Salary Range & Benefits
At Wheels Up, we believe in fair compensation based on experience, skills, and qualifications. The salary for this role ranges from $84,000/Yr. to $105,000/Yr., depending on a variety of factors. We don’t typically start individuals at the top of the salary range; your place within the range is based on what you bring to the table. Additionally, you may be eligible for a discretionary annual incentive program, which rewards individual and organizational performance.
