- Some college coursework or a combination of education and equivalent work experience
- 5+ years of experience as an Executive Assistant or similar role with experience that may include but not be limited to the following:
- Expert ability to manage complex schedules, appointments, and deadlines for executives, including scheduling, rescheduling, and conflict resolution.
- Skill in managing multiple tasks and competing demands effectively to ensure critical items are addressed in a timely manner.
- Clear, concise, and professional communication in all interactions, whether triaging calls, drafting emails, or preparing materials.
- e.g., Microsoft Office: Outlook, Word, PowerPoint, Excel) and potentially virtual meeting platforms
- Discretion and confidentiality capabilities
- 5+ years of experience supporting multiple executives, senior leaders, or similar roles where discretion and confidentiality are essential.
- Associate or Bachelor’s Degree
- Ability to work independently and as part of a team.
- Experience with Microsoft Office Suite and other tools.

- Identifies the preferred method of support for the executive and team members and appropriately accommodates their working style. Partners with the executive team members to help them be efficient and effective with their time, consistently maintain strong communication.
- Manages executive’s calendar and correspondence: Maintain/prioritize and organize Outlook calendar/folders. Keep the executive and team members informed of changes.
- Optimizes travel arrangements (transportation, accommodation, agenda) based on the executive’s travel needs and preferences. Manage complex itineraries, to include any changes. Complete related expense reports.
- Assist the executive and team members with preparing for meetings, including preparing materials, obtaining materials in advance, distributing materials, and keeping the executive on schedule. Obtains appropriate support for virtual attendees as well as various media needs and other logistics.
- Screen calls and respond to emails as needed.
- Greet and assist planned guests and manages unannounced visitors.
- Assists with coordinating and managing meetings and events such as staff meetings, all-hands meetings, off-sites, team gatherings, etc., overseeing all calendaring, communications, technology, logistics, and related follow-up activities.
- Prepares, updates, and organizes information for inclusion in team strategy rooms, reports, correspondence, presentations, budgets, etc. Edits documents for accuracy, format, and arrangement of materials.
- Sorts, screens, and distribute incoming and outgoing mail for the executives. May highlight information of interest and/or curate reading material.
- Participate as an adjunct member of the executive’s leadership teams, including attending select meetings, taking notes, tracking assignments, and following up on assigned action items.
- Assists in keeping the executive and team members well organized, including online retrieval and archiving documents as well as supporting the Company’s records and retention schedule.
- Assists with special projects as needed.

In this position...
We are looking for a dynamic, professional, customer-focused individual to provide support for the Head of Digital Strategy and Global eCommerce team. You will provide administrative support including calendar management, coordination and optimization of executive travel plans, preparation of materials for meetings, triage phone calls, voice mails and e-mails, and be a strategic partner to help the leaders and team work as efficiently and effectively as possible. You will be a valued member of the team and should be open to learning about the business beyond the day-to-day activities of the role. This role requires an individual who is flexible, resilient, uses good judgment, has the courage to challenge the status quo, and is always looking for ways to better the business. We are looking for someone who is self-motivated, adapts to change with a positive attitude, a quick learner, and has the confidence to ask for help when needed.
This is a hybrid position in Dearborn, MI and the Executive Assistant will be onsite four days per week.
