      Location

      This role is based out of our Dublin Office. We love our office and the setting it provides for celebration and collaboration. But we also appreciate the opportunity to work remotely can energize you too, so we do offer flexible arrangements!

      What You’ll Do

      Reporting into the Director of People Operations; the Executive Assistant holds the responsibility of being a proactive, organized partner and liaison between members of the Executive Leadership Team (ELT)/Senior Leadership Team (SLT) and their key internal and external contacts. This role provides primary assistance to calendar management, meeting bookings, travel arrangements and expense management. Additionally you may also be required to support with general administrative activities including preparation of PowerPoint presentations, agendas and other materials, as well as taking and distributing Meeting Minutes. This is a unique role that will require the ability to change gears and audiences fluidly, from C-suite leaders, to Visitors and Employees.

      Additional key responsibilities include:

      • Handle multiple calendars over several time zones for ELT/SLT members
      • Manage and screen all emails and traditional mail, including screening all incoming telephone calls
      • Partner with the Office Manager to prepare for meetings and events including preparing materials, and scheduling people, locations & resources
      • Track, process, and code expenses and invoices, including submiting credit card reconciliation statements for ELT/SLT members in accordance to billing cycles
      • Host and liaise with visitors to the office
      • Filing and general administrative duties
      • Prepare briefing notes and biographies of external guests
      • Assist with project management and ensure project targets are met
      What You’ll Bring
      • Related administrative Diploma or Degree program
      • 5+ years of Executive Administrative support
      • Advanced computer skills including Microsoft Outlook, PowerPoint, Excel, Office, Visio
      • Experience in calendar management over multiple time zones
      Who You Are
      • Understand the fundamentals of business and able to build processes and procedures to manage information, people, projects, etc. as required
      • Ability to effectively prioritize, multi-task, and meet targets in a fast-paced environment
      • Highly organized with excellent attention to detail
      • Excellent verbal and written communication skills
      • Have a passion or interest in the FMCG industry
      • Handle highly confidential matters with the upmost discretion, and always maintain strict confidentiality.
      • Able to anticipate the needs of the ELT/SLT members and office and take proactive measures to meet these needs before they are officially requested
      • Available evenings and weekends during periods of peak periods for the business
